Sometimes the Supplier may deliver lesser than ordered quantity and the parties may agree to cancel the remaining quantity. In this case, the Purchase Order can be foreclosed

In the following illustration, 10 units of an item are on order

Assume that the Supplier delivers only 7 units and the order needs to be pre-closed for the balance quantity. In this case, schedule the Shipment as usual, for the entire quantity ordered

Click Receive Inventory to open the receiving screen, after adding the item to the schedule.

Change the ‘Qty Accepted’ to 7 and click Receive.

System will alert you to the short quantity.

Click OK to confirm receipt with short quantity and the receipt will be created, showing the balance to be received

You have the option now to receive the remaining quantity to complete the Purchase Order or Foreclose it for the remaining quantity.

To foreclose, open the Order in Edit mode ( click Edit Order from the Actions menu group at the bottom of the Order screen] and choose the order line/s to be foreclosed.

Click the Cancel Selected link

The selected items will be cancelled and the Order will be marked as ‘Completed’

The system will automatically insert an Internal Note for the cancellation
