The Online Release Request functionality in the inspira OM module enables the Offer Facilitator, Offer Manager and Signatory or Delegated Signatory to process, sign and submit the Release Request Document to the Releasing Officer electronically. It also makes it possible for the Releasing Officer to record their response and electronic signature through a webform.

An Online Release Request may be generated in Step 1 by the Offer Facilitator or in Step 7 by the Offer Facilitator or Offer Manager — Generating it in either step is done exactly the same way. The instructions provided herein refers to reviewing and processing the Online Release Request in Step 1, and the same instructions apply when generating the Release Request Document in Step 7. If generated in Step 7, the Release Request Document will be submitted to the Signatory as part of the Offer Document package, and the Signatory can either send it to the Releasing Officer at the same time as they send the Offer and related documents to the candidate or at a different time.

After generating the Online Release Request template, the Offer Facilitator or Offer Manager reviews and processes the document as follows:

  1. Review the Release Request Document. The template displayed will correspond to the Onboarding Method. This example is a reassignment, therefore the template shown is for a request for release on reassignment. Click on Print, Edit, Save or Submit to Signatory, as necessary.




  2. In case the template requires revisions, click on Edit and make the required changes in the template.





    Note that the Activity Status only changes from Document generated to In progress with OM/OF if the Release Request Document template is edited. If the Release Request Document is not edited, the Activity Status remains as Document Generated.







  3. Add an optional comment for the signatory in the Comment box.




  4. Click on Save.




  5. Click on Submit to Signatory.




  6. On the main page, click OK in the pop-up message.




  7. The Activity Status will change to Submitted to Signatory.





    Clicking on Submit to signatory triggers an automated email notification from the Offer Facilitator or Offer Manager to the signatory with a weblink informing them that the Release Request Document is ready for their review and signature. The Release Request Document cannot be edited or regenerated unless it is returned to the Offer Facilitator or Offer Manager for revisions.
