All staff members either have or are given a unique identification (personnel) number known as an index number. Generating an index number for new staff members is part of the offer management process and should be requested via Umoja, by a Global Index Requestor (Global Index Requestor and Administrator in Umoja Job Aid).





In Umoja, dependents have a unique identification number that is a derivative of the staff member’s index number. The family member’s identification number includes the index number of the staff member and an extension (01xx for spouse, 02xx for children and 03xx for stepchildren.
As an example, a staff member with Index Number 12345678 has a spouse, two children and one stepchild. They would have the following identification numbers: 12345678-0101, 12345678-0201,12345678-0202 and 12345678-0301.

The HR Partner reviews/checks for a candidate’s index number in Umoja. A GID request is not required if the index number is already available in the GID and the source reflects Umoja. If an index number exists for a candidate, but is in the non-staff category, such as a consultant or a military/police officer, a GID request in Umoja is needed to change the status to applicant. If not available, the index number is requested by the GID Requestor through the GID Administrator (Global Index Requestor and Administrator in Umoja job aid.)
