First of all, you need to create an Offer Letter Template in Word. It is recommended to highlight the replaceable fields.
Next, go to Settings and click on ‘Templates.’
Select ‘Document Templates’ and then click on ‘New.’
Select ‘Word Template’ and choose ‘Application’ on the dropdown menu.
Then click on the ‘Select Entity’ button.
Select all the Entity Names mark the Checkbox and press the ‘Download Template’ button.
A Word Document will be downloaded. Open it, you will see a blank document.
Open the first document (with your Offer Letter) and copy the content (Ctrl + C). Then, paste the content into the blank document recently exported from Dynamics ATS.
You will need to see the ‘Developer’ tab on Microsoft Word (Don’t worry, you won’t be doing any coding). To open it, right-click and select ‘Customize the ribbon.’
Then select ‘Developer’ and press ‘OK.’
You must click ‘Developer’ and select ‘XML Mapping Pane.’
Then select the Microsoft CRM option to connect.
Now you will be able to view your entity job application form and all its fields. This will allow you to locate them to replace the fields in the document.
To do this, select the field in your document and then identify its corresponding name in the CRM. Once you find it, right-click and select ‘Plain Text.’
For example, if the first field is ‘Full Name,’ you need to look in the list to see how it is named in the CRM. In this case, we can find it as ‘dcrs_candidatename.’ Then, right-click and select ‘Plain Text.’ You will see the change reflected in the document.
If a field is not available in the application form, you need to find where it could be in the system. For example, ‘Street Name’ is not a field in the application form but is available under ‘Candidates_DCRS Job.’ So, you must select it and choose ‘Street 1’ to insert it in the template.

When you finish changing the fields, save the document and go back to Dynamics ATS Settings. This time, select ‘Upload Template.’
Then Drag and Drop the Document and press ‘Save.’
The template will be available to use in your applications.
