User Configuration Options
The first decision before using JMS is to decide what Roles are required. Some examples of Roles configuration is shown below.
Example 1
There are only two Roles used:
- Admin
- Coordinator
This is when all activities are done by one group of users i.e. Coordinator.
See New Request Workflow for Coordinator
Example 2
There are three Roles used:
- Admin
- Coordinator
- Requester
This is when all activities are done by users with Role Coordinator except the Requests. The Requests are done by users with Role Requester as well as Coordinators.
See Request Workflow for Requester
See New Survey Workflow for Coordinator
Example 3
There are three Roles used:
- Admin
- Coordinator
- Service Provider
This is when requests are created by the Coordinator. The Coordinator accepts a request and assigns it to a Service Provider Organisation i.e. The Team Leader for a Service Provider Organisation. The Service Provider Team Leader completes the work.
See New Survey Workflow for Coordinator
See New Survey Workflow for Service Provider
Example 4
There are four Roles used:
- Admin
- Coordinator
- Requester
- Service Provider
This is a combination of Examples 3 and 4.
See Request Workflow for Requester
See New Survey Workflow for Coordinator
See New Survey Workflow for Service Provider
Example 5
There are six Roles used:
- Admin
- Coordinator
- Requester
- Service Provider
- Surveyor
- QC
This is a combination of Example 4 and more delegation to the Surveyor and QC at the Service Provider Organisation.

Example 6
There are seven Roles used:
- Admin
- Coordinator
- Requester
- Service Provider
- Surveyor
- QC
- Lab Analyst
This is a combination of Example 5 and more delegation to the Lab Analyst for completing the lab results.

After deciding on the Role configuration you can complete the following actions:
- Make sure you have a user login i.e. username and password. If you do not know your username and password, speak with your system administrator. If you are the administrator see how to add users;
- Make sure you know what Role has been assigned to your user name. For more information see Roles;
- Use the Overview diagram below to see what are the “typical” activities completed by a user with a specific Role. The Overview diagram provides an overview of what can be done by each Role. For example:
- a user with role Coordinator can assign a Service Provider, Accept a Job, Use the Bulk Upload, Approve for release and do all that a Service Provider, Surveyor, QC and Lab Analyst can do.
- a user with role Service provider can Assign a QC, Assign a Surveyor, Assign a Lab Analyst and do all a Surveyor, QC and Lab Analyst can do.
- To see how you can complete the activities click on the relevant Action link from the Roles and Actions table below;
- To see what activities are possible and which screens are viewable for a Role click on the relevant Role link from the Roles and Actions table below;
- You can create different type of Jobs. To see more information click on Job Type;
- In order to maintain the integrity of the data, some of the Job Types will lock the property so that the same information is not changed by two jobs simultaneously. More information is provided in Job Lock section.
- From a request for a Job to completion, each Job will have a different status. More information is provided in the Job Status section.
