MANAGEMENT AGREEMENT

On February 18, 2021, GlenRiddle Community Association, Inc. renewed the management agreement with Legum & Norman, an Associa company, for a 5-year term. Click here to view the Management Agreement. This agreement outlines the recurring routine, periodic routine, and non-routine services that Legum & Norman will provide to the Association. Recurring routine services are covered under a monthly Management Fee as stated in the Agreement. However, fees for periodic routine services are subject to an annual adjustment. Click here to view the 2021 Periodic Routine Services Fee Schedule. This schedule is Exhibit A of the management agreement. The attached fee schedule also includes Exhibit B which is a list of vendors available through Associa. Here again, this list is subject to change.

After Hours Emergency Service

Emergency service is available when calling the office phone number after hours. The emergency service is provided by Associa and Associa charges GlenRiddle $50.00 per call or an hourly rate for time over ½ hour per call (see Exhibit A of the Management Agreement). There is no charge to homeowners for using this call-in service if there is an emergency that requires immediate action. However, homeowners calling the emergency service for non-emergency information will be billed for the $50.00 per call fee.

General Manager’s Duties

GlenRiddle’s General Manager is responsible for providing the overall supervision of GlenRiddle Community Association, Inc. The General Manager interacts with internal and external customers including homeowners, vendors, board members, and committee members, as well as staff at the Associa Client Shared Service Center (CSSC) and within the Legum & Norman branch office.

The General Manager’s duties include but are not limited to:

  • Supervising the operation and administration of the Association in accordance with the Legum & Norman management agreement and the Association’s policies and procedures.
  • Acting as or overseeing the primary liaison with the Association Board of Directors and homeowners as needed.
  • Performing or directing administrative and management duties as requested by the Board of Directors and in accordance with the management agreement.
  • Ensuring Associa community management tools are being effectively developed and utilized. These tools include an annual calendar, action item lists, resolution worksheets, timed agendas, RFP matrixes, committee charters, procurement procedures, annual operating budgets, etc.
  • Reviewing monthly financial reports and ensuring a management summary is submitted to the association Board of Directors.
  • Providing and/or overseeing recommendations to the Association Board of Directors and committees regarding major capital expenditures as required to maintain the desired community appearance and operation.
  • Monitoring owner delinquency rates and the collections process.
  • Attending Board meetings per the management agreement and community events as needed.
  • Preparing Board packages according to established time frames.
  • Ensure the Board of Directors is aware of legal actions involving the Association.
  • Maintaining unit and contract files relating to the operations of the Association.
  • Assisting the Board of Directors and the Architectural Control Committee with the architectural review process and/or routine inspections as necessary.
  • Maintaining the C3 financial and accounting database, including updating resident information.
  • Providing routine and special project vendor management including procurement as well as performance evaluation as contracted.
  • Providing oversight of Associa staff as the management agreement provides.
  • Coordinating and/or overseeing the inspection of building facilities and/or common areas and arranging appropriate follow-up actions as required.
  • Overseeing the accounts payable process in accordance with Associa home office processes and procedures.
