A Cubix model can hold multiple versions of data. Typically these would be for the current year actual, one or more versions for prior years historic data, current budget and perhaps a number of forecasts. The final number and nature of the versions needed in any model is entirely dependent on the reporting and analysis requirements.

Versions

For each version you want in your model, you need to enter the following information:

  • Name – A reference name for the version. This must be unique and must not contain any spaces or special characters.
  • Description – A description for the version.
  • Type – Either History, Actual, Forecast or ActFor
    Type Used For
    History Versions that will hold historic data
    Actual Version that will hold the current actual data. This version type includes additional functionality to control period end closing and rolling forward of balances.
    Forecast All versions used to hold fixed forecast or budget type data
    ActFor A special blended type which mixes actual data up to the last closed period with fixed forecast data for future periods.

  • Cycle (optional) – A text field which can be used to associate a year number to a version
  • Time Link (optional) – Establishes a link to the last period of another version. For example the current year version would have a link to the prior year version so that Cubix knows that the first period of the current year follows on from the last period of prior year.
  • Roll Link (optional) – Establishes links between versions that determine how data is rolled over at the end of the year. Data flows from the Roll Linked version. For example the prior year version would have a Roll Link with the current year actual version, signifying that at the end of the year the current year data will be rolled to the prior year version.
  • Actual Link (optional) – Only applicable for ActFor version types. This determines which version contains the actual data to be blended with the forecast.
  • Rule Set – ActRules or ForRules, the set of calculation rules to be applied in this version.

  • Input As YTD – If un-ticked, this option specifies that data for this version will be entered or loaded on a periodic value basis and the Cubix will calculate the cumulative position. If ticked, this option specifies that the data for this version will be entered or loaded on a cumulative basis and that Cubix will calculate the periodic values.

This setting is linked to the applied rule set. So if the option is changed for a particular version, it will also be changed for all other versions that use the same rule set.

  • Lock Control -
  • Lock Forecast – Only available for ActFor versions. Specifies that the forecast periods are to be locked when the version is locked. If unchecked, only the actual periods will be locked when the version is locked.
  • Validate All Periods – Only available for ActFor and forecast versions. Specifies that all periods are to be validated. If unchecked in an ActFor version, only the actual periods will be validated. (Only applicable if validation rules have been defined for the model).
