Before any Club or Branch looks to implement a new policy, you should check SLSA & SLSQ policies to ensure you are not duplicating information.

Step One: Purpose of Policy

Every policy has three key elements: a problem definition, goals to be achieved, and the policy instruments to address the problem and achieve the goals.

When drafting a policy, consider whether the following items need to be included:

  • Aim/Objectives
  • Scope
  • Purpose
  • Audience
  • Applications
  • Legislative Framework

Policies should be:

  • Clear, concise, and simple language
  • Explains the rule, not how to implement the rule
  • Easily accessible by staff at all times
  • Represents a consistent, logical framework

Step Two: Document the Policy, Review and Approve

Once all the information is gathered and you understand the scope and purpose of the policy, it is time to write the policy. Ideally, a Subject matter expert should write a policy.
The policy should have just enough details for the members to understand. The policy should be written without using jargons. It is necessary that the policies are not complicated and any reader is able to understand the purpose and requirements.

After a draft is written, it should be reviewed by management committee. Once reviewed and all review comments are incorporated, the Management Committee are to endorse and approve the policy before it is published for use in the club.

Step Three: Communicate and provide training

Communicate the approved policy to all the relevant members/ staff. Training may be provided to make sure that the members/staff understand the policy and implement the activities in the policy. Changes to the policies should also be communicated whenever these are done.

Policy areas for clubs to consider.
The Management Committee can establish SLSC policies to cover such matters as:

  • Borrowing/removal of SLSC equipment
  • Fundraising
  • Reimbursement of expenses
  • Subsidising coaching fees
  • Subsidising gear for competitors
  • Surf sports competition team selection
  • Surf sports touring teams
  • Water usage.
  • Conflict of Interest
  • Social Media
  • Use of IP
