What is a Policy?
Policies are a set of clear expectations and describe the strategy your club use to address particular conditions and regulations.
The goal of policies is to convey your club’s culture and standard.
Policies can include information on:
- Expectations within the Club
- Establishes the guidelines towards strategies.
- Link between an a Club or Branch’s vision, values and day-to-day operations. identify key activities
- Support decision making and adhering to the Club constitution & regulations
- What the local community can expect from the Club
Good policies are more than just a list of rules. It should show clubs the purpose behind their roles and responsibilities and provide ways to review and measure success.
When should you create a new policy?
A Club or Branch should create a new policy when there is a need to establish guidelines or regulations to address a specific issue or problem. There are several scenarios when a new policy might be necessary, including:
- When there is a change in structure or mission
- When there is a change in legislation or regulations
- When there is a new issue or problem that needs to be addressed
- When existing policies are outdated or ineffective
- When there is a need to clarify roles, responsibilities, and procedures
Creating a new policy involves a process of research, consultation, and review to ensure that the policy is effective, relevant, and feasible.
The committee should involve relevant stakeholders and experts in developing the policy to ensure that it is comprehensive and takes into account different perspectives. It is also important to communicate the new policy clearly to all stakeholders and provide training and support to ensure that it is effectively implemented.
Policy creation
Policies created within your club should be completed in consultation with the key stakeholders the policy will affect. This ensures the process completed is fair and transparent.
Policies should be:
- Clear, concise, and simple language
- Explains the rule, not how to implement the rule
- Easily accessible by staff at all times
- Represents a consistent, logical framework

Policy endorsement
All Policies within the Club should be reviewed and endorsed by the relevant panels, committees and Management Committee.
