Grouped adjustments

Grouped write up/ write down enables the user to modify groups of transactions during the invoice proposal stage, specifically when write the value of invoice line up or down either by amount or percentage.

Further options are added such as Move grouped time, Move grouped expense, Move grouped fees to allow groups of transactions to be transferred between projects.

Transactions in a project invoice proposal can be grouped by pre-selected grouping such as project manager, Role, and a project resource financial dimensions (up to three dimensions can be specified and these are parameter controlled). The user will be presented with a drop down containing the above attributes, from which they will be able to choose one (or none).

PARAMETERS

Go to Project management and accounting > Setup > Project management and accounting parameters > Invoice tab

Fields Description
Grouped dimension 1 User can specify the financial dimension for pre-selected grouping.
Grouped dimension 2 User can specify the financial dimension for pre-selected grouping.
Grouped dimension 3 User can specify the financial dimension for pre-selected grouping.
Activate grouped modify time When this parameter is set to Yes, user can transfer groups of time transactions from one matter to another. Enabling this parameter also provides the options Move grouped expense and Move grouped fee in the Expense and Fee tab of invoice proposal respectively.
Activate grouped write up/ write down When this parameter is set to Yes, user can write the value of invoice line up or down for the selected group of transactions.

MOVE GROUPED TIME

New button Move grouped time introduced at project invoice proposal Hour tab to move time transactions from one project to another project based on the pre-selected grouping.

Go to Project management and accounting > Project invoices > Project invoice proposals > Open an invoice proposal

Usage of this option will open a new form “Move transactions to another project”. The following fields are available on the form:

Fields Description
Group transactions Lookup contains options None, Project reource, Role and Grouped dimension 1, Grouped dimension 2, Grouped dimension 3 as selected in the Project Manager parameters.
None Based on the value selected in the Group transactions the field label will change and accordingly display the values under the field.
Project ID Lists all the Projects available for selection to move time transaction from current invoice proposal project to selected destination project.
OK User can proceed with moving transactions to another project.
Cancel Form is closed discarding the changes

MOVE GROUPED EXPENSE AND MOVE GROUPED FEES

Go to Project management and accounting > Project invoices > Project invoice proposals > Open an invoice proposal

Note –
  • The transactions are grouped by financial dimensions of the Project resource (not those of the posted time transactions ).
  • If the user doesn’t want to use the Group transactions option, they can proceed with option None which will be applicable for all the transactions with respect to the Hour, Expense and Fee tabs.
  • When a grouped selection has been made in preparation for a transfer to another project, all hour/expense/fee transactions covered by the grouped selection will be transferred rather than a specific hour/expense/fee transaction. Every transaction transferred will be adopting the configuration rules of the destination project i.e., dimensions, sales price, cost, category constraints etc.
  • The applicability of adopting the configuration rules of the destination project for sales price and cost price are only for time transactions. Expense and fee transactions always retain their original posted sales and cost prices.

GROUPED WRITE UP/ WRITE DOWN

Go to Project management and accounting > Project invoices > Project invoice proposals > Open an invoice proposal

Choosing this option will open a new form with title Write up/ Write down and details of the fields available on the form are as follows:

Fields Description
Amount When set to true, this field allows the users to apply adjustments based on the Amounts.
Percent When set to true, this field allows the users to apply adjustments based on the percentages.
Reset allocation This button allows the users to reset adjustments performed in the form to the last the applied values.
Group transactions Options available None, project resource, Role and Grouped dimension 1, Grouped dimension 2, Grouped dimension 3 as selected in the Project Management and Accounting parameters.
Original invoice amount Displays the sum of all time transactions value when the invoice proposal is generated.
Current invoice amount Displays the updated sum of time transactions value in case of any adjustments performed on time transactions after the invoice proposal is generated.
New total amount Displays Current invoice amount as New total amount. User can enter new total amount to apply write up/write down provided Amount radio button is set to true. This amount will be applied for all the transactions in the form.
Percent change Displays the percentage variance between New total amount and Original invoice amount. User can edit percent change which will accordingly impact the values for applicable transactions.
None Based on the value selected in the Group transactions the field label will change and accordingly display the values under the field.
Original amount Displays the sum of the time transactions for the records resulted based on Group transactions option selected.
Current amount Displays sum of the updated time transactions for the records resulted based on the Group transactions option selected in case of any adjustments performed on time transactions after the invoice proposal is generated.
New amount Displays Current amount as New total amount. User can enter value in this field to apply adjustment against selected grouping record provided Amount radio button is set to true.
Percent change Displays percentage variance between Original amount and New amount. User can enter value in this field to apply against selected record provided Percent radio button is set to true.
OK Clicking OK proceeds to apply write up/ write down.
Cancel Clicking Cancel will close the form without applying changes.
Note – If the user changes the option from Amount to Percent or vice versa any applied changes after the form is open will be reset to last applied adjustments.

User has to click OK to apply the write up/ write down changes made . This will prorate the sales price up/ down to achieve the newly adjusted line amounts. These values applied are only available to the invoice proposal until it has been posted. Deleting the invoice proposal will, therefore, also delete any price changes done at the invoice proposal level.
