The following documents and data are required to submit a special leave request on behalf of a staff member.

  • Written request with justification: Staff members must submit a written request for the type of leave request they want time administrators to submit on their behalf with a clear explanation as to why it is necessary to request their assistance. In the event that the reason is justified, the time administrators will proceed to submit their request on their behalf. The request must clearly indicate the type of leave as well as the day(s) and hours requested. Detailed notes should be added to the staff member’s record.
  • Documentation: The Staff Member is required to submit relevant documentation based on the type of leave being exercised. Information sheets are available to support staff on the documentation required in each case.
  • Validate Eligibility: Check that the staff member qualifies for special leave (i.e., the staff member is on a fixed-term, continuing, or permanent appointment, and exceptionally on a temporary appointment).
