The first chapter of the manual aims to provide as much information as possible about the possibility of customising Scrigno Suite.

Both the setting items and the functionalities of the management system can be very flexible, and vary considerably according to type and category of accommodation facility; this is the reason why the majority of information and ‘basic’ preparation of Scrigno Suite are managed directly by the Gp Dati technician during the starting phase.

Once the activity has been started, it is still possible to modify the initial setting autonomously, to implement new records, to edit or delete those already existing.

We remind from the start that the menus described and illustrated in this chapter are potentially displayed only to users defined as ‘System Administrators’, and are strategic for achieving the objectives set by Management and fundamental for proper use of the system by all the collaborators.
We recommend special attention in the data maintenance, and for any doubt do not hesitate to contact Gp Dati assistance service for any clarification or additional instructions.

N.B. The modification of SCRIGNO setting parameters might have consequences for the functioning and the statistics obtainable from the programme. Thus, we recommend utmost attention while carrying out this type of operations. It is advisable to consult the assistance service if you are not sure of how to proceed. Gp Dati is not responsible for any faults generated by incorrect setups carried out autonomously.

Here is a list of the potential set up aspects that can be modified and/or implemented by the operator, together with the links to the specified sections of the manual.

  1. Users and passwords setup
    There is a menu useful for the autonomous management of the system login credentials.
    If you are a system administrator, see section Users and passwords setup.
  1. Charges and production balances setup
    Only system administrators are allowed to modify the charge code setting. In this case, please consult the specified paragraphs in section Charges and balances setup.
  1. Reservation fields setup
    Only system administrators are allowed to modify the reservation field setting. In this case, please consult the specified paragraphs in section Reservation field setup.
  1. Contracts and rates setup
    For all that relates to the management of the contract archive, rates and price lists, see section Rates plan setup.
  1. Profile field setup
    System administrators are responsible for deciding how to use the different items included in the guest and company profile forms. The more accurately this aspect will be dealt with, the higher will be the efficiency of the different functions of the management. We propose some examples of guest profiling in the section Profile field setup.
  1. Service setup
    The inventory of the extra services that can be booked (transfer, baby sitting, excursions etc…) is carried out by users. See section Service setup.
  1. City tax setup
    This menu is useful if you need to modify autonomously the charge rates relating to the city tax envisaged at municipal level. See paragraph City tax setup of this chapter.
  1. Fiscal counter setup
    From the Front Office menu and from the Tables menu, it is possible to make modifications and reset the fiscal counters used. It is necessary to carry out this operation at the end of the year, or, in specific cases, at the end of the season. See section Fiscal counters setup/reset for further information on this topic.
  1. Maintenance module setup
    It is possible to set up and modify the items envisaged for the maintenance module (Operators, Activities, Operational Departments). See paragraph Maintenance module setup.
  1. Address book items setup
    It is possible to set up and modify the items included in Scrigno integrated Online Address Book, such as the categories into which all the phone and email contacts are grouped. See paragraph Address book setup.
  1. Automatic correspondence texts and template setup
    Users can modify templates and the modules envisaged for the automatic correspondence (accompanying letters, reservation confirmations, etc). The corresponding section is Text and template setup.
  1. Rooms archive setup
    See section Room setup.
  1. Public holidays calendar setup
    Users can govern autonomously Scrigno public holidays and events calendar, frequently used to activate automations or warnings to the user. To proceed, see section Public holidays and events calendar.
