1. Each hourly wage individual on the project staff is required to prepare and maintain the forms on a daily basis. There are no exceptions. All salaried field personnel are required to use the Weekly Administrative Time Sheet as described in Section 2.7 of the Manual.
2. Most field personnel are assigned to a single project. For those with any multi-project responsibility, a single form (or sets of forms) must be completed for each individual project. Never combine projects on the same form for any reason.
3. Treat change orders, potential change orders, work done under protest, and work that is or may be the subject of a claim as a separate project. The general project number with the change suffix will serve as the complete “Job Number.” * 2.6.3 Example Change File Identification*
4. The forms should be filled out throughout the day as the activities are changing, but in any case they must be filled out every day at an absolute minimum.
5. Use the Project Administrative Activity List included in Section 2.8 of the Manual as the source for the activity numbers to be used to identify the particular administrative activities.
6. To report activity information for specific field work (concrete formwork, rough carpentry, etc.), secure the general activity list from the central office as determined for the specific project. This is a listing of each trade activity to be performed by Company personnel that has been prepared from the original bid package estimate for the work category. Refer to Sections 4 and 8 of the Manual for details on its preparation.
7. All completed forms are to be returned to the central office each week on the designated day. Check with your Accounting Department for the requirement.
