The Subcontractor Summary and Telephone Log book may become one of the project manager’s and project engineer’s most effective tools with which to manage the army of subcontractors that will make up the construction force. It is intended for use in the central office (or where the central project engineering function will be consistently performed—at the jobsite at a larger project, for example). Its purpose is to consolidate all relevant subvendor information in a way that will display the status of all outstanding requirements, as well as provide a mechanism that will allow the project manager and project engineer to keep firm control over all Company-subvendor written and verbal communications. Its format will allow the accomplishment of these objectives in a way that will actually save time while increasing the project manager’s and project engineer’s control over the project.

Prepare the Subcontractor Summary and Telephone Log Book as either a 1″ hard-cover three-ring binder (for smaller projects), or a 2″ hard-cover three-ring binder (for larger projects). Again, prepare the binder in the color to match the project set, and label as “Subcontractor Summary.” Insert into the binder one set of alphabetically tabbed dividers, which will eventually receive each Subcontractor Summary Form as described in Section 4.4 of this Operations Manual, followed by the Subcontractor/Supplier Reference Form (Section 4.5) and the Telephone Log Form (described in Section 4.4) for each respective subvendor as their agreements are confirmed and they are incorporated into the project. The manner in which the Log and record forms are to be used is specifically treated in those identified sections of this Operations Manual. At this point, it is sufficient to note that this Log Book will quickly assume the roles of several key management functions. Beginning as the project telephone book, the Subcontractor Summary and Telephone Log Book will serve as the focal point around which all subvendor communications will be controlled.
