The production of coordination drawings for above-ceiling work will generally be a contract requirement, and work should not start until an approved set of coordination drawings has been submitted to, and approved by, the design consultants. Prior to installation of work above the ceiling, all trade contractors involved in the work should be assembled in a meeting where the nature of their work and the sequence of their work is reviewed and approved by the project manager. As each trade completes its work, the work should be inspected by the Project Superintendent or his or her designee for the following quality assurance items:

  • The work conforms to the contract documents with respect to materials, equipment, and “good workmanship” practices.
  • The installation will not encroach on other trade’s work to the point that access to the other trade’s work is impaired.
  • All access panels for filter replacement and belt drive replacements for fans and heating, ventilation, and air conditioning (HVAC) equipment are accessible.
  • Equipment preventative maintenance work, lubrication points, etc., can be accessed without removing another trade’s work.
  • A statement from each trade certifying that their work has been completed, has been signed off by any inspecting authority, and is ready for close in.
  • Photographs of areas to be permanently enclosed should be taken for inclusion in the Owner’s O&M manuals for that particular trade, a copy of each to be placed in the general contractor’s Close Out file.
