1. When searching/ linking the magnifying is seldom necessary.

Practically everything is accessible through the search field. In case of too many results or when searching for deactivated contacts or projects the magnifying glass is required.

2. Never manually type the Email address in the ‘To’ field.

When applying these methods a contact is never linked to an Email. When a contact is linked, the Email address is automatically filled in the ‘To’ field.

3. Always remove the Email from the inbox when archiving.

When archiving an Email, the Email is automatically removed from the mailbox, otherwise the Email ends up in both the mailbox as well as the archive. This can cause confusion, pollution and repetitive actions.

4. Do not create maps.

Mailboxes contain ‘Concepts’, ‘Sent’, ‘Spam’, and ‘Trash’ in the form of folders by default. Other maps are not necessary as this leads items to stay unarchived for too long and Emails to not be answered. For an efficient work process within the system, answered Emails should be archived.

Contrary to Microsoft Outlook and similar interfaces where the entire Mailbox is seen as one big archive, BaseNet uses the “Documents and Emails” component, which can be found under “Correspondence”.

5. Do not automatically load your default Email template (personal setting).

When in regards to composing an Email, a template is set to appear automatically, whereas the contact and/ or project will not be automatically linked and added as an addressee, because that step has been skipped. In addition, this makes choosing a different template much more tedious. Manually loading a template is done in a matter of a single click.

6. Do not conceal too much in regards to credentials/ accessibility rights.

Credentials should be set with projects in mind. Everything that is linked to a project, receives that relevant credential/ accessibility right.

In regards to credentials/ accessibility rights, everything should initially be set to “All” so that the contact and project history is completely viewable by all.
