In Linq ERP, once a requisition has been approved by all parties, a purchase order is generated with a purchase order number assigned.

  • Go into the requisition and write down the purchase order number on the copy of the requisition that you filed in the Purchase Order binder.
  • If this was a CHK requisition, then that is all you need to do. You are done.
  • If this was a STND requisition, then you will need to receive the items ordered as they come in.
  • To Receive items, log into Linq ERP, click on your name, click Change Roll, click Requestor
  • Click Purchase Order Receiving
  • Make sure you are in the search section (by clicking on the Search icon)
  • Type in the Purchase Order number in the PO box and hit enter.
  • If you are receiving all of the items on the PO, then scroll down to the Receiving section and fill out the Packing, Date Received and Comments boxes and click Receive all.
  • If you are receiving only a portion of the PO, then you need to complete the rows below the Receiving section.
  • The first column should be 1, 2, 3, etc. based on the line each item is on the requisition.
  • The second column is the amount received of each item (you will be creating one row for each item received). Note: POs such as the one for advertising where there is not actual items with specific amounts, you will receive 1 item for each billing.
  • if you have a packing number, type it in the third column (if not, you can use this for another identifier).
  • Add the date received to the fourth column.
  • If you have a receiving comment, add it to the fifth column (example: on a PO for advertising, this is where to add the amount of the invoice, the drug screening/BAT PO, this is where to type the name of the person who had the drug screening, etc.) You are receiving the drug screening/BAT upon receipt of the employees drug screening/alcohol testing results, not on an invoice. Upon receiving the drug screening/BAT, the results get scanned and filed into the employee’s Personnel file.
  • Your name should already be showing in the column User Name.
  • Click the Save button
  • Write the date and amount received on your copy of the PO. On the drug screening/BAT PO, write each employees name and the date received.
  • Attach any packing slip or backup paperwork to the original PO in the Purchase Order binder.
