To create a new contract that will be used for a specific position for employees, you first have to create a contract code in Linq ERP. Refer to the Manula instructons titled: Creating and Viewing Contract Codes for Employee Contracts.

For this example, I will be creating a contract for Athletic Extra Pay positions using the contract code ATHL that I just created.

  • Log into the Employee Portal
  • Click on Administration tab
  • Click on Contracts tab
  • On the Templates tab, click on the white + sign.
  • See an Active box. Click it to turn the contract active. A check mark will appear.
  • On the General tab, click on the drop down for Contract Code and pick Athletic Extra Pay Contract Hourly & Event (ATHL)
  • Contract Name box – Give the contract a name. For this example I named it Athletics Extra Pay Contract Hourly & Event
  • Tab to Contract Description and give the contract a description, such as “Use this contract for any employee being board approved for Athletic Extra Pay hourly and event staff.” Then add the following inches to the boxes below.
  • Header Height (inches): 2.5
  • Footer Height (inches): 1
  • Margin Top (inches): 1
  • Margin Right (inches): 1
  • Margin Bottom (inches): 1
  • Margin left (inches): 1
  • Then click the Save button

You will now want to add a header. To do this, first go into a different contract letter already established, click the Edit (pencil) button for that contract, click on the Header tab and copy all of the information on that header. Then click Cancel to get out of the contract.

  • Click back into the contract you are creating by clicking on the Edit (pencil) on the line of the contract (in this case Athletic Extra Pay Contract)
  • Click on the Header tab and paste the information you just copied from the other contract.
  • Make any changes: Highlight the Morris Hills Regional District name and change the type from Normal to Large. If you want to change the words Contract Letter to something more explanatory, you can. In this case I will be changing it to Athletic Extra Pay Hourly & Event Contract Letter
  • Scroll down and click the Save Button.

You will now need to enter the data on the Body of the contract. To do this, I am copying the body of a contract letter that most closely matches the contract that I am creating. In this case, I am copying the Body of the contract Contract Letter-Academy Freshman Program. I will be tweeking this, but it gives me the general information. After you have copied the information, close the contract.

  • Click back into the contract you are creating by clicking on the Edit (pencil) on the line of the contract (in this case Athletic Extra Pay Contract)
  • Click on the Body tab and paste the information you just copied from the other contract.
  • Make any changes to the Body of the contract.
  • Once done, click Save
  • Click back into the contract you are creating.
  • Click the Preview button. This will download a preview of the contract you just created.

You are done. You can now use this contract to publish contracts for employees.
