To add an advisor position into Linq ERP:
- From the employee’s Master Screen, click the GO down arrow and pick Jobs & Pays.
- Check to make sure you are in the correct default year.
- Click on the next blank set. If there is not one, then click on the green + sign.
- Enter the Contract Start Date: 09-01-YYYY for a Fall Club and for a Full-year Club; 12-01-YYYY for a Winter Club; 03-16-YYYY for a Spring Club
- Enter the End Contract End Date: 11-30-YYYY for a Fall Club; 03-15-YYYY for a Winter Club; 06-30-YYYY for a Spring & for a Full-year Club
- Enter the Pay Start Date and Pay End Date: These should be the same as the Contract start and end dates.
- Enter the Primary Job code of 4 (the same for all clubs)
- Enter the Job Code: EXP3 (for full year clubs); EXF1 for Fall Club; EXW1 for Winter Club: EXS1 for Spring Club
- Enter the Emp Cat: same as job code above.
- Enter the Contract Code: CLAD for all clubs
- Click the Auto button
You are now on the Pays screen – Position Detail tab.
- Enter the Position # (you can get this from the board agenda).
- Enter 1.0000 FTE
- Check the Count FTE box
- Start Date and End Date should be the same as above, depending on season or full-year
- Location should already be filled-in, but it should be 0003 for Morris Hills or 0004 for Morris Knolls, depending where the advisor will be working.
- Click on the Pay Detail Tab
- Click the drop down for the Schedule ID box and pick EXP3 if for full-year or EXP1 if for a season (fall, winter, spring) and the correct year
- Click the drop down for the Level box and choose the correct level. Level is either EXP1 for a seasonal club or EXP3 for full-year club
- Click the drop down for the Step box and choose the correct step (Step is based on the Activity Grade listed in the MHRDEA contract or in the Personnel book created by this office.)
- Primary Pay, use 4 if this staff member already has a contracted position for us. Use 1 if this is an out of district advisor and this is their main position.
- Contract Start, Contract End Dates should be the same as above, depending on season or full-year.
- Pay Start and Pay End Dates should be the same as above, depending on season or full-year.
- Pay class is 12
- Pay Cycle is S
- Tax Factor is 20
- Earn Code – click on the drop down menu and choose the correct club (Note, the code for the club starts with the number of the Advisor Grade—example: School Play Director would start with the number 2 (2004).
- Distribution group should populate automatically, but if it doesn’t it is: YY-11-401-100-100-160 (then 03 for Hills, 04 for Knolls)
- Contract Salary, Contract Days (67) for seasonal or (200) for full-year, Full Yr. Salary and Full Yr Days (67) for seasonal or (200) for full-year, should already be populated.
- Actual FTE is 1.0 and Actual Hours is 0, Budget FTE is 1.0 and Budget Hours is 0.
- Period and Daily rates should already be populated. Hourly rate should be o.
- Type is $ Amount
- No Pays is 1 for seasonal, 3 for full-year
- Encumber, Roll, Contract and eContract boxes should be checked.
- Time Entry is Don’t Show
- If this is the first time that this employee is doing this position, then in the Comments box type “new to position”
If the employee has done this advisor position in the past, then he/she may be entitled to longevity. If this is the case, refer to the longevity stipend on the board agenda.
To enter a Longevity stipend for this coaching position, once you are in the Jobs & Pays screen for this employee, enter the following:
- From the employee’s Master Screen, click the GO down arrow and pick Jobs & Pays.

- Enter the Contract Start Date: same as above
- Enter the End Contract End Date: same as above
- Enter the Pay Start Date and Pay End Date: These should be the same as the Contract start and end dates.
- Enter the Primary Job code of 4 (the same for all seasons)
- Enter the Job Code: Either LG3 for full year or LG1 for seasons
- Enter the Emp Cat: Either LG3 for full year or LG1 for seasons
- Enter the Contract Code: CLAD for all seasons
- Click the Auto button
You are now on the Pays screen – Position Detail tab.
- Enter the Position # of: 99-0000-01-03P (this is the longevity position # for all full-year advisors) or 99-0000-01-01P
- Enter 1.0000 FTE
- Uncheck the Count FTE box (longevity is always unchecked)
- Start Date and End Date should be the same as above, depending on season or full-year
- Location will need be entered: 0003 for Morris Hills or 0004 for Morris Knolls, depending where the coach will be working.
- Click on the Pay Detail Tab
- Click the drop down for the Schedule ID box and pick LG1 or LG3 and the correct year
- Click the drop down for the Level box and choose 1
- Click the drop down for the Step box and choose the correct step (refer to Board Agenda for stipend amount).
- Primary Pay, use 4 if this staff member already has a contracted position for us. Use 1 if this is an out of district coach and this is their main position.
- Contract Start, Contract End Dates should be the same as above, depending on season or full-year
- Pay Start and Pay End Dates should be the same as above, depending on season or full-year
- Pay class is 12
- Pay Cycle is S

- Enter the Work Location (0003 for MH; 0004 for MK)
- Earn Code – LG3 for full-season; LG2F for Fall club; LG1W for Winter club; LG1S for Spring club
