When a teacher has a provisional certificate that is due to expire, you should check with the teacher a few months before the expiration date (provisional certifictes expire on July 31 of a given year) to see if he/she will be completing the required schooling. You should also check to see if the teacher has two years of effective or highly effective summative ratings and has completed 30 weeks of mentoring. If one or more of these conditions are NOT met, then the teacher will need to renew his/her provisional certificate.
In order for the teacher to renew this provisional, you must initiate the renewal process in NJEdCert in June of the expiring year. Candidates may be eligible for one provisional renewal. CE teachers must provide the school district with documentation of progress made towards alternate route program completion. Candidates completing a TOSD, Bilingual, or ESL program must also provide documentation to the school district of progress made towards program completion to be eligible for a second renewal of the provisional.
To Initiate a Provisional License Renewal:
- From the Home page, click Renew a Provisional License (right side of the page)
- There will be a list of provisional licenses that are eligible to be renewed.
- Select the appropriate educator.
- Follow the screen prompts.
- Following the conclusion of the process a case is created with status Pending Payment.
- An application is created and associated to the case.
- A new PTP record is created and associated to the educator and application.
- The educator will receive an email with subject: Your Provisional Renewal Application, to allow for the educator to complete the application and make the payment.
- You should email the educator to let them know to expect this email. It is up to this educator to follow through with this renewal.
- Check periodically to see if the new provisional has been issued.
- Once issued, follow the directions below for locating and printing this renewal. This will have to be entered into alio/linq and also scanned/uploaded into Archive and placed in the educator’s personnel file.
To locate and print a recently issued provisional certificate:
- Login to NJEdCert.
- At the home screen, click on Lookup Educator Certificates
- Type in the First Name and Last Name of the new employee and click Search
- You will see all the certificates that have been issued to the new hire.
- If you see that the Provisional certificate has been issued, then make note of the License number for the provisional certificate you will be printing.
- Click on the three lines in the left corner and choose District Educators.
- Find the name of the Educator for which you want to print the provisional.
- Click on the first or last name of this Educator and you will see a his/her page appear with a blue box “Summative Ratings & Mentorship”.
- Do not click on this box, but scroll down to the box Certificate or Credential and click on the License ID for the Provisional certificate (should be the same one you made note of previously.
- This will bring up the provisional certificate. Scroll down to the Expiration & Renewals section and double check that this is the correct provisional (the expiration date should be in the future, sometimes if the new hire had a provisional certificate issued by another district, then you might be on the wrong certificate. The expiration date will tell you if it is the new provisional issued.)
- Scroll back up to the top of the page and click the box Printable View.
- Click Print This Page (upper right of page).
