This position is responsible for the ordering of supplies and creating requisitions/purchase orders for the Human Resources/Personnel department.
To create a requisition:
- Log into Linq ERP, click on your name, click Change Roll, click Requestor.
- Before you create a requisition, you should check to see if there is money in the account. To check this, on he main Requestor menu (first click Modules), then click “On Line Inquiry”.
- Click “Account Inquiry by Account Mask”
- Click the Account type box Expenditure
- On the Account Number line, space over until you are directly under the last two XX of the Account Mask line, then type 09
- Make sure you are on the correct Account Year
- Click Show Accounts
- The page that comes up should show each account number for the Human Resources/Personnel Department. The Avail/Rec column is the amount that is available for each account number.
To create a requisition:
- Click Module in Linq ERP
- Click Requisition Entry/Approval
- Click on the word Requisition. A new requisition # will populate along with the Date Entered and Account Year.
- Click the drop down for the Vendor and choose the name of the vendor for which you are creating a requisition.
- Keep the requisition open, but do the following before completing the requisition: – Write the requisition number on the backup paperwork and scan it to your email address – Using the other computer monitor, go into your email nd download the backup paperwork – Now you need to create a BOSC (Business Office Support Center) ticket. To do this: * Go to the mhrd.org website and click on Staff Links * Click Submit a Business Office Support Center Ticket (BOSC) * Click New Support Ticket (you do not need to sign-in) * Complete the form * Click on eh +Attach a file (at the bottom of the form) * Upload the scanned backup by clicking on the file you just scanned (it will be saved in the Downloads folder * Click the Submit button * You will immediately be sent an email from the BOSC * Go into your email and write down the BOSC ticket number * Now you can go back and finish entering the open requisition.

- Tab over and you should see Location Order # of 09 and Ship # of 09
- Requestor: Type in your name
- Order Type: – Pick STAN (includes drug screenings, advertising, supplies) if ordering items that you will need to receive. – Pick CHK if you are creating a requisition that will need to be sent out via check and is one payment that will not need to be received (usually used for subscriptions, memberships, trips, conferences and sometimes advertising (if the particular advertising has been run already).
- Header Code: VSTA usually
- Click on the folder tab titled Items
- On the first line, item 1, click on Description and type in your item description of the first tiem you are purchasing, then tab to Quantity and type in the amount, tab to Unit Cost and type in the $ amount of the item, tab to UOM and type in the Unit of Measure (Ea, Box, Etc.). Do this for all items ordering.
- Create a line item for Shipping (if shipping costs will be incurred) for 10% of the total requisition.
- Click on the folder table title Accounts.
- Tab over and you will see the page fill-in except you’ll need to add the Account # (get this number from either a previous created PO or from the Supervisor of HR.
- Tab over and you will see the % fill in.
- Click on Finish.
To print the requisition:
- On the top section of the first page of the requisition, over to the right, click on Print Requisition.
- The requisition comes up, then click on the Print icon to print this page.
- File the requisition in the Purchase Orders binder.
- Email the Supervisor of HR of the requisition for approval.
