When a CST or School Counseling staff member is out on a leave and the rest of the staff needs to “fill-in” for this staff member, these positions are considered 2/6 positions.

The way 2/6 pay is set up is as follows: All employees will be paid at the MA+30 highest step. Therefore, the CST MA+30, Step 20 for 2024 SY is $113,022 divided by 6 equals $18,837, times 2 = $37,674. This is the full year one person rate. This figure will change each year when the pay tables increase. The pay table for the 2/6 position will only have 1 level and 1 step. When creating the jobs/pays, use a percentage of this salary based on how many staff members will be filling-in (.1667/for 6 people, .2/for 5 people, .25 for 4 people, etc.)

The way 2/6 longevity pay is set up is as follows: The longevity steps will be the 1/6 longevity step for 205 employees x 2. As an example, the 1/6 longevity step for someone on 16-17 years that work 205 days is: $342. Multiply $342 × 2 = $684. This is the full year 2/6 longevity for someone who has 16-17 years longevity. This rate will be pro-rated for the # of people ‘filling-in” as listed above and for the # of days the staff member is actually working. Therefore, the 2/6 longevity steps (as of the 2023-24 SY) are as follows:

  • 16-17 years: $684
  • 18-19 years: $854
  • 20-21 years: $1,060
  • 22-23 years: $1,332
  • 24+ years: $2,324 (Note: these figures may change if longevity is increase in future years)

Examples:

On the January board agenda, we have two CST employees who will be out, a Social Worker and an open School Psychologist position for which we hired the replacement but there is a period between the staff member leaving and the new staff member starting.

  • The open position is being covered by 6 staff members, so I will take $37,674 and divide this number by 6 (.1667 FTE)), which equals $6,279. This is the full year salary that will be prorated for each of the 6 staff members for the period working.
  • The Social Worker position is being covered by 4 staff members, so I will take $37,674 and divide this number by 4 (.25 FTE), which equals $9418.50 (rounded to $9419). This is the full year salary to be prorated for each of the 4 staff members for the period working.

For anyone on longevity, the 2/6 pay is based on the current longevity step the employee is currently placed. The pay table will need to be the 1/6 longevity amount times 2 (as listed above). This amount is then divided by how many people will be doing the position. Those who are entitled to longevity will be receiving this adjusted longevity amount.

FILE MAINTENANCE & EMPLOYEE MASTER
At times, when a CST or counselor is on a leave of absence, instead of hiring a leave replacement or long-term substitute to fill the position, we will hire staff members to fill the position on a 2/6th basis. In the Employee Master screen, in the Last box, click the drop down arrow and start typing the employee’s last name that will be doing the 2/6th position. Choose the correct employee from the list.

EMPLOYEE JOBS
Click on the GO drop down and choose Jobs & Pays. Check to make sure you are in the correct default year. Click on the next blank set. If there is not one, then click the green + sign. Enter the Contract Start Date and Contract End Dates for the period the teacher will be doing the 2/6th position. Type in the pay period dates for the Pay Start Date and Pay End Date that encompasses the dates the employee will be working. Primary Job is 2, Roll is unchecked, Job Code is STIP and Emp Cat is STIP. Contract Code is 2/6P. In the comment section I usually type 2/6th for (and list the teacher who is out on leave). Then click the Auto button.

EMPLOYEE CONTRACT PAYS
Position Detail Page:

  • For the 2/6 position, the position number is from the employee that is taking the leave (this should be listed on the agenda as well); Tab to FTE, enter the # of FTE as follows: enter .1667/for 6 people or enter .20/for 5 people or enter .25/for 4 people or enter .3333/for 3 people or enter .5/for 2 people or enter 1.0/for only 1 person “filling-in”. Count FTE box should be unchecked
  • For 2/6 Longevity, then the position # is always: 99-0000-01-20P. FTE is 0 and FTE box is unchecked.
  • Enter the actual Start Date and actual End Date that the CST/Counselor will be working
  • Location should have automatically populated for the 2/6 position to the location where the employee will be working. If not, then enter the location of the staff member who is out on leave. For the 2/6 longevity, you will need to enter the location number.

Pay Detail Page:

  • The Schedule ID will need to be changed to STIP (make sure to pick the correct year as well)
  • Level is 10 for 2/6 position; Level is 11 for 2/6 Longevity position
  • Step is always 1 for Level 10 (there is only one step for 2/6 pay (all CST/Counselors get the MA+30 highest step on the guide)
  • For Level 11 (2/6 longevity), then pick the step for the longevity years of the staff member’s main position (the prorated amount should equal the longevity listed on the agenda)
  • The Contract Start Date will be the first day the leave replacement staff member is working (in the example below it would be 2-20-2024)
  • The Contract End Date will be the last date the staff member is working (in the example below it would be 5-29-2024)
  • The Pay Start Date will be the first day of the pay period the CST or Counselor is working (if half a pay period or more, then I start it in that pay period. If less than half a pay period, then I would start it the following pay period. (ex: if the period started 02-27-2024, I would start the pay on 03-01-2024; in the example below, since the leave replacement staff member is starting 02-20-2024, then I would start it with the pay period 02-16-2024)
  • The Pay End Date will be the last day of the pay period the staff member is working, even if it is only 1 day in that pay period. (In the example below, it would be 05-31-2024.)
  • Pay Class is 12 (leave replacement stipends are always non-pensionable)
  • Pay Cycle is S
  • Tax Factor is 20
  • Work Location is the same as in the Position Detail page
  • Earn Code is 2/6 (or 2/6L for longevity)
  • Distr Group is usually 01 (it should be the distribution number for the employee that is out on leave).
  • Contract Salary will automatically populate.
  • Contract Days-you will need to enter the amount of days the 2/6th CST/Counselor will be working. The find out this number, count the number of actual days (based on the current calendar) the counselor out of leave is working and substract this # from 205. For an example, if the leave replacement is in for a Counselor for the period 02-20-2024 through 5-29-2024, then the leave replacement will be paid for 66 days (205 days minus 139 days). The 139 days is the number of days the counselor on leave is physically working in this position.
  • Full Yr should automatically populate. Days is 205. Actual FTE is either .1667, .20, etc., depending on how many counselors are “filling-in”, Actual Hours is 3, Budget FTE is 1.0, Budget Hours is 3.
  • Rates: Period, Daily, Hourly should automatically populate. Type is $ Amount.
  • No Pays should be based on the number of pay periods. (in the example, it would be 7 (1 for Feb. 29th, 2 for March, 2 for April, 2 for May).
  • Calc Base box should be Full Yr Salary
  • Encumber, Contract and eContract should be checked. Roll box should be unchecked. Time Entry should be Don’t Show.
  • In the comments section type: 2/6 for (teacher on leave name) or 2/6 longevity for (teacher on leave name)
  • Click the Save icon
