The Employee Template-(current year) is a spreadsheet that is shared with a number of people (transportation, assistant principals, principal secretaries, the person who adjusts the automated phone notification system, technology department, etc.).
This spreadsheet notifies these departments the resolutions that were approved at the last board meeting: new hires, those resigning and/or retiring, those going on a leave of absence and their replacement, etc. To access the spreadsheet:
- Go into Google, My Drive, EILEENOSBORNE DRIVE, Excel or Sheets Files
- Click on the Sheets spreadsheet titled: Employee Template – (current school year)
- Go to the end of the spreadsheet and add additional rows after the series of changes from the previous month.
- Enter your data from the board meeting and then highlight this data in yellow. Remove the highlighted yellow from the data listed for the previous month. Only current changes should be highlighted in yellow.
- The last three columns all the way to the right (Birth Dates, Job Codes, SMID #) are only filled in for new hires. Birth date is obtained from the employee’s Personnel record, Job Code is obtained from Linq ERP from the NJ Assignment page. Usually the SMID column is left blank, unless the new hire has worked for us in the past. In this case, check Linq ERP NJ Assignment page to see if a SMID number is available for this employee.
- Filling out the spreadsheet is pretty self-explanatory. Follow the same pattern to enter new data. Note, for our out of district coaches and advisors, under the Key Fob field, instead of entering a key fob number, enter “AP to issue”. Since this employee is not being tracked through Linq ERP, HR does not issue the key fobs.
- I usually enter the out of district coaches and advisors last on the spreadsheet since the only information needed is the issuance of the key fob by the AP and for the Tech department to provide an email address. They do not get an automated phone notification and do not get access to programs on our district computers.
- Once you have fnished adding your data, then go to File, choose Email Collaborators from the list, type a message, then click the blue Send button.
