When a new Teacher, Ed. Services (School Psychologist, Counselor, etc.) or Administrator is hired with a CE or CEAS certificate, then he/she will need to be entered into the Provisional Teacher Program, which is the responsibility of this position.
Before you begin, you should already have had a mentor board approved, so get this information from the agenda.
For new educators under a Certificate of Eligibility (CE), you will need to contact the new hire to obtain the alternate route program that the new educator is enrolled into as well as request he/she provide you with a 50-Hour CE-EPP Verification of Program Completion (VOPC) Form. The CE teacher needs to have enrolled in an Alternate Route program and must have completed the 50 hour CE-EPP program BEFORE you can enter him/her into the Provisional Teacher program.
To enter this new hire into the Provisional Teacher Program, you will need to log into the NJEdCert.com website.
- Once you are on the home screen, you will need to click the button, Register an Educator for a New Provisional.
- Enter the new staff members last name and social security number (and possibly Date of Brith). The system should find the new hire.
- Verify the email address for this new hire.
- Complete the fields for job type, employment status, start date and additional job details.
- Select the license that matches the position for which you hired the educator.
- Mentorship and alternate route information will be requested, so have this information ready.
- Continue to enter the requested information.
- Once you have completed the registration, a case is created and assigned to the provisional program.
- An application record is created within the case.
- A new provisional teacher process record is created for that educator.
- You will need to refer back to the new teacher’s record in the NJEdCert to print and enter this provisional certificate into alio, and scan/file (into archive & personnel folder) once issued. To do this:
- Login to NJEdCert.
- At the home screen, click on Lookup Educator Certificates
- Type in the First Name and Last Name of the new employee and click Search
- You will see all the certificates that have been issued to the new hire.
- If you see that the Provisional certificate has been issued, then make note of the License number for the provisional certificate you will be printing.
- Click on the three lines in the left corner and choose District Educators.
- Find the name of the Educator for which you want to print the provisional.
- Click on the first or last name of this Educator and you will see a his/her page appear with a blue box “Summative Ratings & Mentorship”.
- Do not click on this box, but scroll down to the box Certificate or Credential and click on the License ID for the Provisional certificate (should be the same one you made note of previously.
- This will bring up the provisional certificate. Scroll down to the Expiration & Renewals section and double check that this is the correct provisional (the expiration date should be in the future, sometimes if the new hire had a provisional certificate issued by another district, then you might be on the wrong certificate. The expiration date will tell you if it is the new provisional issued.)
- Scroll back up to the top of the page and click the box Printable View.
- Click Print This Page (upper right of page).
