Bylaws, Policies and Regulations must be read and Board approved twice. After the second reading/approval, do the following for each:

  • Open the Word version of the Bylaw, Policy or Regulation that had the second reading board approved.
  • If it is a revision, then “unbold” the bolding and delete the data with strike-outs, and add a Revised date to the bottom of the document.
  • Save (as a Word document) and print it on two-sided copying.
  • Add this document to the gray binders located on the bookshelf by the Personnel/HR door. The binders are titled: Bylaws, Policies & Administrative Regulations.
  • Write the date of the board meeting on the old copy of the Bylaw, Policy or Regulation that you removed from the gray binder and put this document into the binders in the overhead cabinet next to the secretary’s desk. The binders are titled Old Policies & Regulations.

You will now need to add the board approved Bylaw, Policy and Regulation to the Strauss Esmay website, Morris Hills Regional section. To do so:

  • First copy the document that was board approved after a second reading. Do not copy the header information or the title.
  • Log into the Strauss Esmay website at www.straussesmay.com using your email address and password.
  • Click sign-in
  • Click on District Edit
  • Click on the box next to District Policies (for a Bylaw or Policy) or the box next to District Regulations (for a Regulation).
  • Click on the section that has the beginning number of the Bylaw, Policy (or Regulation) that you will be adding – example: For Policy 5200 you would click on Policy Section 5000 Students.

If this is a new Bylaw, Policy or Regulation, then click on the + sign Add new District Policy (or Regulation) in red type, which is located after the Policy (or Regulation) section.

  • You will now need to “fill-in” the top section of this page. Enter the Policy (or Regulation) number (do not enter an R in front of the regulation number). Type in the Title in the Title Box, click on the down arrow (where you see the word Bylaws) and change this to the correct section (as listed on your Bylaw, Policy or Regulation), change the Date Edited to the date of the second reading of the Board approval date.
  • Click on the large box under the gray section.
  • If this is a mandated document, then type a capital and bolded M on the first line. Hit return and on the next line, paste the data you copied previously. If the document was not mandated, then just paste the data you previously copied, into this section without the bolded capital M.
  • Review the spacing of this document, you may need to remove some extra line spacing between paragraphs, etc.
  • Click the Save button.

If this was a revised bylaw, Policy or Regulation, then from the Policy Section page (or Regulation Section page) click on the specific Bylaw, Policy or Regulation that you are revising by clicking on the pencil picture next to the document number.

  • Highlight the data that you are replacing and paste the new data into this form. If the Bylaw, Policy or Regulation is mandated, do not highlight and paste over the bolded M.
  • Note, you may have to delete extra spaces between paragraphs that the system creates to make the document look correct.
  • Change the Date Edited to date of the board meeting where the second reading of this Bylaw, Policy or Regulation was approved.
  • Click the Save button
