To add a coaching position into Linq ERP:
- From the employee’s Master Screen, click the GO down arrow and pick Jobs & Pays.
- Check to make sure you are in the correct default year.
- Click on the next blank set. If there is not one, then click on the green + sign.
- Enter the Contract Start Date: 09-01-YYYY for a Fall Sport; 12-01-YYYY for a Winter Sport; 03-16-YYYY for a Spring Sport
- Enter the End Contract End Date: 11-30-YYYY for a Fall Sport; 03-15-YYYY for a Winter Sport; 06-30-YYYY for a Spring Sport
- Enter the Pay Start Date and Pay End Date: These should be the same as the Contract start and end dates.
- Enter the Primary Job code of 3 (the same for all seasons)
- Enter the Job Code: COAF for Fall, COAW for Winter, COAS for Spring
- Enter the Emp Cat: COAF for Fall, COAW for Winter, COAS for Spring
- Enter the Contract Code: CLCA for all seasons
- Click the Auto button
You are now on the Pays screen – Position Detail tab.
- Enter the Position # (you can get this from the board agenda).
- Enter 1.0000 FTE
- Check the Count FTE box
- Start Date and End Date should be the same as above, depending on season
- Location should already be filled-in, but it should be 0003 for Morris Hills or 0004 for Morris Knolls, depending where the coach will be working.
- Click on the Pay Detail Tab
- Click the drop down for the Schedule ID box and pick COAC and the correct year
- Click the drop down for the Level box and choose the correct level (Head or Assistant Coach and the Season)
- Click the drop down for the Step box and choose the correct step (refer to Board Agenda for stipend amount).
- Primary Pay, use 3 if this staff member already has a contracted position for us. Use 1 if this is an out of district coach and this is their main position.
- Contract Start, Contract End Dates should be the same as above, depending on season
- Pay Start and Pay End Dates should be the same as above, depending on season
- Pay class is 12
- Pay Cycle is S
- Tax Factor is 20
- Earn Code – click on the drop down menu and choose the correct sport (Note, the code for fall sports start with an F, code for winter sports start with a W and the code for the spring sports start with an S).
- Distribution group should populate automatically, but if it doesn’t it is: YY-11-402-100-100-947 (then 03 for Hills, 04 for Knolls)
- Contract Salary, Contract Days (67), Full Yr. Salary and Full Yr Days (67) should already be populated.
- Actual FTE is 1.0 and Actual Hours is 0, Budget FTE is 1.0 and Budget Hours is 0.
- Period and Daily rates should already be populated. Hourly rate should be o.
- Type is $ Amount
- No Pays is 2
- Encumber, Roll, Contract and eContract boxes should be checked.
- Time Entry is Don’t Show
- If this is the first time that this employee is doing this position, then in the Comments box type “new to position”
If the employee has done this coaching position anytime during the last 5 years, then he/she may be entitled to longevity. If this is the case, refer to the longevity stipend on the board agenda.
To enter a Longevity stipend for this coaching position, once you are in the Jobs & Pays screen for this employee, enter the following:

- Enter 1.0000 FTE
- Uncheck the Count FTE box (longevity is always unchecked)
- Start Date and End Date should be the same as above, depending on season
- Location will need be entered: 0003 for Morris Hills or 0004 for Morris Knolls, depending where the coach will be working.
- Click on the Pay Detail Tab
- Click the drop down for the Schedule ID box and pick LG2 and the correct year
- Click the drop down for the Level box and choose 1 for Coach Longevity
- Click the drop down for the Step box and choose the correct step (refer to Board Agenda for stipend amount).
