Navigation: From the Main Menu select Setup Entry and then press the Utilities button .

The Utilities section is used by managers to update the inventory quantities, merge customers and more.

Inventory Tab

Recalculating Inventory Quantities

The Recalculate and Refresh button will perform two functions:

  • If the Recalc On-Order and Available Quantites box is checked,
    • It will look at all of the Purchase Orders and make sure the on-order quantities are correct for all inventory items.
    • It will look at all open workorders and make sure that the available quantities are correct for all inventory items.
  • If the Clear all Backorders ordered before box is checked, it will clear out the backorders before the specified date as well.

Update Last Ordered & Received Dates from P/O’s

This simply verifies and fixes the dates in your inventory records.

  • Zero ALL Inventory Qtys: This will set all inventory quantities to zero.
  • Zero All Negative Inventory Qtys: This will set all inventory that currently has a negative quantity to zero.

Merge Inventory Tab

Use this to combine two inventory items into one. It will combine the sales and purchases to date, the transactions and the quantities on hand.

  • Use the buttons to select the first Inventory Item( this will be the item that you will keep).
  • Use the buttons to select the second Inventory Item( this will be the item merged into the first item).
  • Press the Merge button.

Customers Tab:

These features are typically used by AutoFluent staff after data conversions:

  • Set Open Invoices: Makes sure the open invoices are set up correctly.
  • Set Customer Totals: Updates the Sales to Date totals for all the customers, and date first & last purchased.
  • Recalculate Deposits: Analyzes the open Workorders to determine each customer’s deposit balance.
  • Delete Old Quotes: Permanently remove ALL Quotes dated before the specified date range.

Merge Customers Tab

Use this to combine two customers into one. It will combine the sales, purchases to date and all transactions.

  • Use the button to select the first customer. This will be the customer that you will keep.
  • Use the button to select the second customer This is the customer that will be merged into the first customer.
  • Press the Merge button.

Merge Vendors Tab

Use this to combine two vendors into one. It will combine all history for the vendor.

  • Use the button to select the first vendor. This will be the vendor that you will keep.
  • Use the button to select the second vendor. This is the vendor that will be merged into the first vendor.
  • Press the Merge button.

Repair WoLock Button

Use this button if you get an error when opening workorders which refers to the WoLock table being marked as crashed. This most often occurs after a power outage while a workorder is open. If this function does not re-enable you to open and edit workorders, please contact AutoFluent Support at your earliest opportunity.
