Navigation: From an open Workorder, select the Recommended Service button on the bottom left-hand corner.

Here is where you can enter the information you have collected from a customer’s vehicle inspection and where you can add or decline services.

Vehicle Inspection

  • Press the Recommended Service button in the workorder.
  • Press the Vehicle Inspection button.
  • The Vehicle Inspection window will appear where you can check the items that need attention. Clicking a line once will produce a yellow Service Soon color, clicking a line twice will produce a red Immediate Service color, and clicking a line a third time will turn it white, excluding this line from the Inspection Sheet.
  • The ‘Notes’ column is for anything pertaining to that item. Notes that are typed here will appear on the printed copies.
  • Press the Print Customer Copy button and/or Print Mechanic Copy. You can set it HERE to automatically print the mechanic copy whenever a workorder is printed.
  • When done, press the Save button.
  • If you would like to email the inspection sheet and photo attachments to a customer, you can do so when printing or previewing the Workorder. Please refer to the topic here, and navigate to the ‘Email’ section.

Adding / Declining Recommended Services

You will now see that the items that were marked yellow or red have been added to the Recommended Service window, where the customer can Accept or Decline the service. If parts and/or labor need to be added to the services, click on the ‘Edit’ button on the left. Any notes that were typed on the vehicle inspection sheet have automatically been transferred into the body as a comment.

Once all the lines have been either Accepted, Declined, or Ignored you may press the Add Accepted and Declined Services to Workorder button. You can also choose to add a new service to this area with the Add New Service button.

Not only will the services that were accepted be added to the workorder, but if services were declined, they will also be sent to the workorder, with the following heading: The following recommended services have been declined:. This default message can be edited HERE.

If the Email Reminders for Declined Services box was checked before adding the services to the workorder, an email reminder will be sent for each service declined. A window will pop up for each email, allowing you to edit it, and specify how far in the future you would like it sent.

If a service was declined or ignored, the next time you open a new workorder with this vehicle, the Recommended Service button will be highlighted red, indicating that there is a declined/ignored service that you may want to recommend again.
