Brief Summary of New Major Features in Version 8.6

  • Multiple Inspection Sheet forms can be created, and you can choose a form or forms during an inspection.
  • The new Annual Sales Summary report lists the inventory, with a column for each month of the year.
  • Workorder lines now turn yellow or red, based on the pickup time.
  • You can now add multiple DOT Numbers to a Workorder line with a tire.
  • There are 8 new customizable Workorder statuses, to more accurately mark the status of each Workorder.
  • You can mark up outside parts or tires by either a percentage or a dollar amount.
  • When doing a lube package with Service Data Pro, you can assign the OEM part numbers for the various filters to filters that you stock.

Point of Sale

  • In the Sales Entry window, Workorder lines now turn red when a job is past the pick-up time, and yellow when it is almost past due. To set how soon you would like it to turn yellow, go to the Sales Settings tab of System Settings. In this tab, you can also set the default pick-up time.
  • In Sales Entry, when you enter a phone number in the yellow box to find a customer, you can click the magnifying glass icon. This will:
    • Search your customer database, trying the 3 default area codes if it is a 7 digit number. (These area codes are set in the Address tab of System Settings.)
    • Search Whitepages.com if the customer is not found, with 10 free searches per month. Contact a TABS rep for more monthly searches. Rates start at $15 / month.
  • You can mark up outside parts or tires by a dollar amount rather than a percentage in a given Item Group:
    • In the Item Group window, select the Item Group to change.
    • In the lower right section, click the ‘$’ button. It will change to a ‘%’, and below it will appear a column of ‘$’.
    • Set the numbers in the right column to be the dollar amount to be added to the cost to get the selling price of the outside part or tire.
    • Save your changes.
  • Service Data Pro will now look for OEM part equivalents in stocked inventory, searching for the catalog, vendor part number, and manufacturer part number.
  • You can now print the in and out times on invoices.
    • In the Invoice Copies tab of System Settings, check the box to Print in and out times on the Invoice.
    • For all new invoices created (not for previous invoices), the date and time in and out will be printed on the invoice.
    • If it is a wholesale invoice, instead of ‘In’ and ‘Out’, it will say ‘Ordered’ and ‘Sold’.

Inspection Sheet Forms

You can create multiple Inspection Sheet forms, to be used for different purposes (smog, lube, heavy truck, etc.)

  • To create multiple forms:
    • In the Vehicle Inspections tab of System Settings, click the Add Form button.
    • When creating the form, you can either start fresh, or copy the lines from another form.
    • You can then add categories and lines as usual.
    • You can delete forms, categories or lines.
    • Check the boxes of the form(s) and categories you would like to use by default.
  • When doing an inspection:
    • Check or uncheck the boxes to use the forms and categories desired.
    • An inspection can use all or part of multiple forms.

Workorder Statuses

There can now be 14 Workorder Statuses rather than 6, and 8 of them can be customized to your needs. These statuses appear in the Workorder list in Sales Entry, and on the Scheduler calendar. Each of the statuses can have its own default text message to be sent to your customer, and each can have a custom color in the Scheduler.

  • To set up the new statuses, go to the Marketing Statuses tab of System Settings. Then go to the Statuses / Text Messages tab. Here you can assign a name to each of the 8 new statuses, and assign a default text message and Scheduler color to each of the 14 statuses.
  • To change the status of a Workorder, in the Workorder list in Sales Entry click the button in the Status column. Here you will be able to select the status and send the text message to the customer.

DOT Numbers

The DOT Number interface has been greatly enhanced. This is an interface with CIMS which lets you log the DOT numbers of the tires you sell, and have them automatically get sent to CIMS. Having the AutoFluent Tire Module, and signing up with CIMSTireRegistration.com is required.

  • Multiple tire DOT numbers can now be added to a single Workorder line.
  • The DOT numbers now print on the bottom of the final invoice.
  • When previewing a Workorder or Invoice, you can click the DOT button on top to see what DOT numbers are associated with what tires.
  • There is a system setting to require that all tires in a Workorder have DOT numbers before finalizing it as an Invoice. This is in the Defaults – W/O tab of System Settings.

Inventory

  • There is a new report called Annual Sales Summary.
    • It gives you the quantity sold each month for each of the previous 12 months.
    • It also gives the the price, cost, quantity on hand and reorder levels.
    • It is useful for getting a quick picture of how your various items have done over the year, to help you set reorder levels, or to place orders.
  • For most inventory reports, if you run a report for selected Item Groups, the groups will be listed at the top of the report. However, if there are too many groups, it will instead say ‘Selected Groups’.
  • You can now print labels for packages, comments, etc. This is useful for those who like to have a printed sheet next to the sales rep with various barcodes to scan.
  • The information on the Web tab of Inventory Entry (showing the inventory details as shown on your website) is now available in some reports, when the reports are exported to Excel. These reports are the Physical Inventory, Inventory Value, and Inventory Sales reports.
  • The Inventory Import feature now lets you import reorder levels from spreadsheets. This feature is in the Utilities menu.
  • The Price Changes window now lets you update Vendors and Reorder Levels for inventory items.

Miscellaneous

  • Customer’s deposits can now be used when making payments on account.
  • Old appointments are now saved for one month rather than a week.
    • You can also purge old appointments in the Customers tab of the Utility menu.
  • The maximum number of Sales Categories per store has been increased from 30 to 50.
  • AutoAware Vendors can now be set independently for different locations (stores).
  • Inventory items can be assigned different vendors at different locations (stores).
