Navigation: From the Main Menu click Customer Entry. Then press the green Adjustments button.

With this feature, you can quickly and easily make adjustments to the accounts of your charge customers. This is used when you need to change the balance of a customer without either selling anything to them or having a sale returned. The most common use of this is writing off a bad debt.

  • Start by Searching for the customer that you wish to make the adjustment to using the yellow search boxes and then selecting the customer.
  • Press the New button and then enter the amount of the adjustment.
  • Enter the Description, Date, Rep and Terms.
  • If you have the accounting module you can also select a General Ledger account.
  • Select the Save button, and a receipt will appear with the amount that has been charged or credited to the account
  • To give a credit, simply use a negative amount, like -40. The following receipt will say “Your account has been Credited $40”.

Adjustment Details

Amount

Enter the amount of the adjustment here. Enter negative numbers as credits to lower their balance, or positive numbers as charges to increase their balance due.

Date

You may backdate the adjustment to reflect past transactions.

Description

Enter the reason for the adjustment. Keep in mind that the message will appear on the statement

G/L Account

Where the transaction will be posted to in the General Ledger, if applicable.

New

After selecting a Customer, press this button to start a new adjustment. This will automatically enter in the current date.

Preview

Lets you see the specifics on the Invoice and allows you to print them by pressing the Printer icon at the top of the preview screen.

Re-Age This Customer

After selecting a Customer, press this button to recompute the ageing based on today’s date. Normally, Customers are aged continually, and re-aged at the end of the month when the ageing report is run, so this button is typically not needed

Rep

The name of the person creating the adjustment.

Save

After entering a description amount and verifying the date, press this button to save the new adjustment.

Show All or Open Transactions Only

For the selected Customer, you can see all transactions, or just the open (unpaid) ones.

Customers with Balances

Check this box to only view Customers that have balances. Retrieving the Customers may take a while if the Show All box is checked.

Terms:

This is the terms of the adjustment, and is normally Net 30.
