Navigation: From the home screen, click on Clock-in Mechanics.

With mechanics punching in and out of jobs, you will be able to compare billed hours to the actual hours that it took to complete a job. To enable this Mechanic Tracking mode, go into the Sales Settings tab of System Settings and select the Let mechanics clock in hours option.

Key Features

  • Jobs are created as soon as a Workorder with labor lines is saved.
  • A job can have an unlimited number of punches and can last an indefinite period.
  • Punches can be edited, added, or deleted by a Mechanic Punches Manager. This setting can be toggled in Employee Setup.
  • Jobs can be marked and unmarked Done at will. With the mode to let mechanics clock-in hours, the done status is for information purposes only.
  • Every punch automatically gets sent to Mechanic Tracking, without the requirement of invoicing out first.

How to Clock-In/Out

When a mechanic is ready to punch into a job, you are able to access the clock-in window two ways:

  1. From the home screen, select Clock-in Mechanics.
  2. From Sales Entry, select Mechanic Punches on the bottom right of the window.

Once clicked, you will be prompted to select the mechanic that will be punching in.

  • Choose the mechanic from the list, then click Select.
  • The jobs assigned to the selected mechanic will automatically populate.
  • Double-click on the corresponding labor line, then click the green Punch In button.
    • If there are notes that pertain to the punch, they may be added into the white text box above the button prior to punching in. You may also add them prior to punching out.

To punch out, you would repeat the steps above, but instead click the red Punch Out button as soon as the mechanic is selected.

Note: If the window was not closed, you can double-click on the job once more to bring up the Punch Out window.

Additional Chores

If you have chores set up, they will show here. Double-click on them to Punch In.

To add or edit Chores, you would do so here.

Options in the Clock-In Window

There are a few different buttons and options inside of the Clock-In Mechanics window. From here, you are able to view details such as the Workorder number, customer name and vehicle, and the hours associated with the jobs. Down below are explanations of the buttons.

  • Mechanic name here logged in: This button displays the mechanic that is currently logged in. If a different mechanic other than the one shown has to clock in, simply click the button and select the appropriate one from the list.
  • Current W/O: If you have a Workorder open and click this button, only the jobs on that specific Workorder will populate in the Clock-In window.
  • Show All: Click this button if you would like to see all current jobs, including labor lines that do not have a mechanic assigned to them.
  • Show Details: This checkbox collapses/expands the labor items on each Workorder.
  • Mechanic to View: To filter jobs assigned to a specific mechanic, select them from this drop-down. This is also used if multiple mechanics are clocking into a job. The person who is logged in can punch into a job that is assigned to another mechanic.
  • Done: This checkbox can be checked/unchecked at will. It is for informational purposes only.
  • View All Completed Jobs: This button will bring up the Mechanic Tracking window.
  • Preview W/O: After selecting a job on the top half of the screen, click this button to preview the Workorder that the job is on.
  • W/O Details: When a job is selected on the top half of the screen, this shows the details of a Workorder that the job is on.
    • From this window, you can add in Mechanic Notes and also view the Parts and Comments on the Workorder.
  • Workorder Complete: This marks the entire Workorder selected as ‘Done’.

Viewing/Editing Mechanic Punches

In addition to editing punches, you can view the status of punches, the hours, the times punched in/out, and W/O preview and details in this window.

There are 3 different ways you can view/edit the punches for jobs:

  1. In the Clock-In Mechanics window, double-click on a job.
  2. In the Mechanic Tracking window, click on a job.
  3. On an open Workorder, click the L button on a labor line.

Adding a Punch

  • Click Add Punch on the bottom of the window.
  • Select the appropriate Mechanic from the drop-down.
  • Select the Punch-In and Punch-Out time using the next two drop-downs.
    • Alternatively, you can select the Punch-In time with the first drop-down, then use the Hours field to input the total hours for the punch.
  • Add any notes pertaining to the punch, if any.
  • Click Save Punch
  • Notice the newly added punch has a status of Mgr Created.

Deleting a Punch

  • Select an existing punch.
  • Click Delete Punch.
  • You will get a prompt to confirm the deletion.

Editing a Punch

  • Select an existing punch.
  • Use the bottom half of the screen to edit the necessary fields.
  • Click Save Punch.
  • Notice the edited punch now has a status of Mgr Override.
