New Major Features in Version 8.9

Version 8.9 has many new features, and includes several report enhancements. We are excited to present to you a new report, the Vehicle Summary Report which lists vehicle details, sales summaries, costs per mile, and more.

Vehicle Summary Report

This new report has several uses, ranging from listing the details of your vehicle database to analyzing services done to the vehicles, and showing cost per mile in various types of services. The vehicles can be sorted:

  • by License Plate
  • by Fleet number
  • by the description of the vehicle
  • for a particular customer or all customers.

There are a few modes. In each mode, you have the option of showing the various specs of the vehicles, including their notes and custom descriptions. The modes are:

  • Listing the vehicles, with or without their details.
  • Listing by Item Group. The parts and services done for the vehicle in the time period are summarized, showing totals, mileage and cost per mile per Item Group. It will also show what percentage of the parts and labor was done in each category (Item Group.)
  • Listing by Item Group Subtotal. The parts and services done for the vehicle in the time period are summarized, showing totals, mileage and cost per mile per subtotal group. The Item Group Subtotals are reported on the Daily Report, and are set up in the Item Group section of System Settings. For example, you could make a subtotal group which includes your Brake Parts and Brake Labor Item Groups, or all your tire groups, or groups related to your LOF services.
  • Listing of Totals Only. This report gives you total parts, labor, tires, hours, mileage and cost per mile for each vehicle in the period.

Enhanced Reports

  • Most Customer Reports can be run for a specific sales tax category.
    • To reconcile with the Sales Tax Report, it is recommended that you run the Transactions by Date/Vehicle report.
    • Although the Customer Sales report can be run for a specific tax rate, it is not for reconciling with the Sales Tax report. This is because this report shows sales for all customers who have been assigned to that sales tax category, as opposed to all sales that were made in that sales tax category.
  • The Backdated Inventory Value Report now runs many times faster.
  • The Timeclock Report with Punches now prints landscape (wide) so that all the punches can be shown in the standard time format rather than military time.
  • Enhanced the special invoice format for shops in Florida.
  • When the Customer List report is exported to Excel, the resale date is exported.
  • The Bank Deposit Summary Report now can give you subtotals per cashier.
  • The Inventory Sales report will show when items have been sold for a price of zero.
  • In Sales Rep Sales Report (when you select Base on Invoice Lines), it shows the hours billed for jobs, even if the jobs have no price. This way, you can give sales reps credit for hours billed if you like, even if it’s warranty work, etc.

Sales and Customers

  • When viewing your list of recommended services for a vehicle in a Workorder, you now have another option in addition to accepting or declining the services. You can choose to email recommendations for some or all the services, without needing to send them to the Workorder.
  • In order to help you reconcile with your daily reports, we have added the following:
    • In the History tab of Customer Entry, the Daily Report number is shown for each transaction.
    • In the History tab of Vendor Entry, the Daily Report number is shown for each transaction.
    • The number will be 0 for transactions for which a Daily Report has not been run.
    • You can search for a Daily Report number in the yellow search box.
  • In the History tab of Customer Entry, there is a new button: Payments Applied to this Transaction. When you select a charge invoice which has been paid, you can click this button to see the payment or payments which were applied to this transaction. Note: This will only work for payments which were made after this release. It will not work for older transactions.
  • Normally, when the customer’s balance is printed on the invoice, the amount that is 60 days or older is reported as past due. If you would like 30 days to be considered past due, you can check the new checkbox in the Invoice Copies tab of System Settings.

Inventory

  • In the Utilities window, there is a new button: Fix Discrepancies between On Hand and History This will let you see all items whose quantity on hand (QOH) does not match its transaction history. Then it will let you either force the QOH to match the history, or force the history to match the QOH. The best way to reconcile it is to click the Print List button, and get a physical count of the items. Then you can return to this window and tell the system which number is correct for each item, by checking the appropriate boxes.
    • Note that no changes are made until the Process All Changes button at the bottom of the window is pressed.
  • If you track bin quantities, when you are in the Physical Inventory Session window and select a bin, it will show you how many are currently in the selected bin, as well as the total quantity on hand.
  • In the Manufacturer’s window (from the Setup menu, using the Gear icon), there are 2 new features:
    • You see how many different inventory items are associated with each manufacturer.
    • You can click the new Rename Manufacturer button to change their names. If you change the name to an existing manufacturer, the manufacturers will be merged.

Miscellaneous

  • If you use the Mechanic Tracking in the “Track Completed Jobs” mode, and you change the billed amount of the job after it has been completed and sent to the mechanic tracking list, the billed amount of the job will now be updated when you go to the Mechanic Tracking window.
  • If you use ePART Connection with a supplier which supports this feature, you will see labor hours for the selected job, and those hours will be able to be pulled into the Workorder.
  • We added the day of the week to the Scheduler when in the Week View.
  • In the Sales Tax window, there are new buttons to set all labor items and types as either taxable or non-taxable.
