Q4 2018 System Upgrades

These upgrades went live in December 2018.
As well as some general housekeeping and system performance improvements, the following is list of the main additions and enhancements to ShiftMatch.

Report Additions

In this release, there are multiple report additions made to the reports available on the Admin>Reports page including:
• Rapidbook Details report – now includes Deadline, skills, worktypes and pools.
• User Locations report – now includes information on preferred staff.

Ability to Re-Order Rapidbooks

The order in which Rapidbooks appear on the Add New Shortfall Rapidbook dropdown can now be re-ordered to suit your requirements.

Cancellation Log added to User Search Page

A frequently requested report, the Cancellations has been added to the People>User Search page against each user, similar to the message export download.
This report will show a snapshot of the cancellation history for the user for a six week period.
This feature will be available to all who have Master Admin status on the User Search page.

Ability to Broadcast to Pools

Via the broadcasting function on People>Broadcast page you now can broadcast to pools as selection criteria.

Split Agency Filled v Internally Filled Shift on the Schedule screen

Filled Shortfalls can now be split into separate sections on the Staffing>Schedule page to make it easier to view Agency filled Shortfalls vs internally filled Shortfalls.
Along with this feature, we have added the ability to change the words “Agency, External and Internal”, for example, Contractor may be a better descriptor for your organisation rather than “Agency”.

Agencies to fill Shift as external through ShiftMatch interface

Agencies can now externally fill shortfalls, that is, fill a Shortfall with a user who does not have a profile in ShiftMatch (freeform text), via their ShiftMatch login.
Previously this function was only available to agencies filling Shortfalls via the Bridge.
Please contact your ShiftMatch representative to have this function enabled

Agency Priority by Location

Preferred agencies can now be allocated per Level 2 and 3 locations on the Settings>Locations page.
If an agency is preferred for a location, ShiftMatch will disregard the usual agency priority when a shortfall for this location is referred, offering the shortfall to the preferred agency before the standard tier one agency or agencies.

Level 3 Location summary view

When a level 3 or divisional level is chosen on the Staffing>Schedule page, you will now see a breakdown of all level 4 Locations and Shortfalls.
All divisional (level 3) placed shortfalls will be included in the count including all shortfalls created at the lower level 4 locations, displaying a more granular representation of shortfalls within a division.

Last Minute Shift only to show on Open Roster

The ability to show “last minute” Shifts on the Open Roster now exists.
Last minute shortfalls appear on the Open Roster at a determined point in time be before the deadline of the shortfall, allowing you to hold back unfilled shortfalls.
For example, only shortfalls that are 24 hours before the deadline may appear on the Open Roster.

ShiftMatch App

The new App will allow your staff to receive push notifications about shortfall requests, accept Shortfalls and receive other system generated notifications such as broadcasts and governance reminders straight to their phone. The App is now available through the App Store and is available for IOS (Apple) operating systems.

Status Website

We now have a new status site that will enable you to see the status of the ShiftMatch site as well as any communication outages that occur.
The status site will be updated in real time and should be your first port of call to verify if ShiftMatch is operating as expected.

Webservice / API Access Upgrade
As a result of our recent underlying system upgrades, some significant changes will occur to our API’s over the coming months to ensure that access to ShiftMatch is as secure as possible.
The changes to the webservice are as follows:
• As previously communicated, all non-secure http access will be removed. Only the secure https://api.shiftmatch.com.au will remain operational
• The secure webservice (https://api.shiftmatch.com.au) has also been upgraded. We will leave this running in its current state for some months to ensure enough time to for those users to upgrade to the new webservice which will be available shortly
• Specific details and documentation will follow, but in summary, the Methods all remain the same, only details regarding authorisation have been enhanced. There will also no longer be browser access to the webservice to ensure the safety of your data and the integrity of the application overall. If you have any questions about any of these changes, please call your ShiftMatch representative so they can clarify the issue.

Browser Support Update
We have no immediate plans to upgrade our web interface, so as such, the ShiftMatch will continue to work as it always has in the coming months. However, since Microsoft and other Vendors have stopped support for some versions of their browsers, it is encumbered upon us to build to match those specifications.
Therefore we always suggest upgrading to the latest version of your browser. This will provide you with greater security and speed as well as ensure that as system upgrades occur everything continues to work for you properly.
Although you might notice a jump in the version number support from our previous versions, this is largely due to the fact that many of these organisations started doing rapid release cycles. Thus moving from a new version every few years to many versions a year. With those versions overlapping and E.O.L (End Of Life) occurring quickly.
All of these browsers have a high standards compliance. And currently, all versions released after 2016 will be supported.
