Q2 2017 System Upgrades

These upgrades went live in July, 2017.
As well as some general housekeeping and system performance improvements, the following is list of the main additions and enhancements to ShiftMatch.

What’s New splash screens
Improved communication to users. Change Courtesy of: ShiftMatch

We have added the ability to display alert Splash screens (one for managers and one for staff) that can contain general announcements (eg new release summary, scheduled maintenance, urgent global reminders to all staff etc).
The splash screen can be set to display for a certain date-range and includes a “Do not show again”
Contact your ShiftMatch account manager to discuss/use this feature.

Ability to move a filled shortfall to a new level 2 (site)
Improved usability. Change Courtesy of: Central Coast Health & Mater Health

Authorized users can now move filled shortfalls across Level 2 locations (usually site or region).
Previously could only move a shortfall within a site (eg from Medical to Surgical)

Three Level Search Worktype Priority
Improved fill rates: Change Courtesy of Monash Health

Authorised users can now nominate up to 3 work type priorities when matching staff.
This is a handy feature for customers who run perm/part-time banks that have contracted hours.
Contact your ShiftMatch account manager to discuss/use this feature.

Example:
• Find Part-time staff 1st
• then find Casual staff 2nd
• then find Full-time staff 3rd

User_PKID added to CSV Reports
Improved reporting: Change courtesy of Nursewest

The internal user unique identifier (PKID) is now displayed on the following reports:
• ShortfallDetail
• ShortfallRuralDetail
• UserDetail
• Offer
• CancellationDetail
• UserLocations

Shift Request Resend
Improved fill rates: Change courtesy of Hotelstaff

We have added the ability to resend shift requests for unfilled shortfalls from the shortfall edit and unfilled screens

The Resend Urgent button can only be clicked once – to prevent spamming.
When clicked, the Resend Urgent (#573) return-text is sent to the same list of users already contacted about the shortfall – except those who are already working or have opted to not receive resends.
Each user will have the option on their My Details page to opt-out of receiving Urgent Resends.

Ability to turn off Linked Shifts checkbox
Improved usability: Change courtesy of Randstad

Authorised users can now control visibility over whether the Linked checkbox on the Shortfall New Form is visible.
This has no impact upon whether split shortfalls can be created, just whether they may be linked, or not.

Location Filter added to CSV Reports
Improved reporting: Change courtesy of ShiftMatch)

Authorised users can now filter all CSV reports by location.
If no location filter is set, then the user’s location access will limit the list.

Very low permission on Staffing Page
Improved usability and system control: Change courtesy of Townsville Health Service and Hotelstaff

We have changed the Write permission on the Settings/Roles/Staffing-Roster item to allow shortfall creation by using only rapidbooks.
The only additional information that can be entered is adjusting start/end times.
The permission is designed for the occasional admin user or agency-client placing requests into an Agency ShiftMatch system.
Contact your ShiftMatch account manager to discuss/use this feature.

Add/Edit Schedule Permission
Improved usability: Change courtesy of Barwon Health, Randstad, Royal Children’s Hospital

Expanded the Add/Edit permission on the Roster page to allow deletion of Unfilled & Deadline-passed shortfalls, but not the ability to delete filled shortfalls.

Today button
Improved usability: Change courtesy of ShiftMatch

A “Today” button had been added to the staff roster page which will take you to today’s date.

New Merge Code for Linked Shifts
Improved usability: Change courtesy of ShiftMatch

A new return text merge code, #linkedUrl#, has been added to provide a link to more information about the linked shortfalls prior to accepting.

Agency shortfall invoice lookup
Improved invoice reconciliation: Change courtesy of Barwon Health

There is a new text box available on the page that allows the user to enter a shortfall ID.
Pressing filter will return an invoice if that shortfall is associated.
The form will not allow, however, the user to search for both an invoice AND a shortfall ID at the same time.

Common Reports
Improved reporting: Change courtesy of Barwon Health, Randstad, Royal Children’s Hospital

We have added in the following frequently requested ad-hoc reports to allow users to request reports as required:
• Unreconciled Agency Invoices
• Requests vs Worked by location
• PullSMS Summary
NOTE: The live database stores the past 6 weeks of data only.

More upgrades and improvements to come in Q3, 2017.
If you have any feature requests, be sure to contact your account manager to discuss.
