Q2 2018 System Upgrades

These upgrades went live in 2018.
As well as some general housekeeping and system performance improvements, the following is list of the main additions and enhancements to ShiftMatch.

Governance Expiry Communication Improvement

To ensure that all governance related communications are clear and staff are aware these are sent from ShiftMatch not a regulatory body or third party organisation we have now hard coded “Sent from ShiftMatch/Organisation Name” to the end of all Governance return text SMS and Email messages.

This is to ensure the user is clear that their governance item is in regards to the dates saved in ShiftMatch by their manager and not the regulatory or third party organisation.

Additions to Governance Report

The following columns have been added to the Governance report:
• Payroll 2
• Class
• Expiry date and inactive date
• Use PKID (ShiftMatch generated unique identifier)

Long Broadcast

PLEASE NOTE: THIS IS NOT AVAILABLE IN CANADA WHERE TEXTS ARE CAPPED AT 140 CHARACTERS
The ability to set the broadcast length to more than 160 Characters up to 250 characters.
Please be aware that SMS length over 160 characters are charged as 2 x SMS.

Profile Fields Addition

A new editable field is now available within a profile on the Professional Details page “require.information1” which is a freeform text box and the title of this field can be edited.
The inputs into this field will also be visible in the User Details report.

New return text Tag for Pools

The Tag #sfpool# has been added to the return text merge field options.
Using this will enable return text to contain the Pool of a shortfall or user.
To add this merge field to any return text access the Settings>Return Text page, for assistance please contact your ShiftMatch representative.

Return Text Improvement

Return text can now be limited to specific classes.
This enables a return text to be turned on or off class by class.
For example, Governance warnings are switched on for Nursing Class but switched off for Support Services.

Joined Shortfall Improvement

We have updated the settings for our joined shortfalls (Linked and Split) and how those links are broken or maintained.
The new settings around linked and split shortfalls enables you to specify what changes that occur within a shortfall trigger a link break.
There are two types of settings, one for Unfilled joined shortfalls and one for Filled joined shortfalls.
For example, a name change within a shortfall may break the link.

Verfication and Exceptions improvement

The exceptions feature located on the Staffing> Exceptions page, now allows a single shortfall to be split among more than 2 wards when verifying a shortfall.
This allows staff movement within the organisation to be captured more accurately.

Governance Item improvements – Inactive Settings

Ability to set all governance items to make a user inactive after the inactive date.
For example, make staff inactive 10 days after the expiry date. This allows the organisation to set governance items to take into account grace periods.

In line with this new setting, the governance page within a users profile now displays the inactive date for each governance item that triggers a user to be made inactive.

Management Schedule view options

The ability to restrict manager view so they are unable to see the History or notes of a shortfall.
This feature is useful if third-party organisations are using your ShiftMatch site to view shortfall information.
To enable this function to contact your ShiftMatch representative.

Restrict Manager view of user schedule

The ability to limit a manager view from seeing confirmed shifts for a staff member if the manager themselves do not have access to the location of the filled shift.
This restriction occurs when a manager is viewing the staff individual via the People>Search User page.

New Status Website

We now have a new status site that will enable you to see the status of the ShiftMatch site as well as any communication outages that occur.
This status site will be updated in real time and will become the first port of call to check if ShiftMatch is running as expected being used as a troubleshooting tool.

Browser Support Update

We have no immediate plans to upgrade our web interface, so as such, the ShiftMatch will continue to work as it always has in the coming months.
However, since Microsoft and other Vendors have stopped support for some versions of their browsers, it is encumbered upon us to build to match those specifications.
Therefore we always suggest upgrading to the latest version of your browser.
This will provide you with greater security and speed as well as ensure that as system upgrades occur everything continues to work for you properly.

Although you might notice a jump in the version number support from our previous versions, this is largely due to the fact that many of these organisations started doing rapid release cycles.
Thus moving from a new version every few years to many versions a year. With those versions overlapping and E.O.L (End Of Life) occurring quickly.
All of these browsers have a high standards compliance. And currently, all versions released after 2016 will be supported.

· Safari 9
· Firefox 44
· Microsoft Edge: Default with Windows 10.

Over the years we have taken pride in our agile approach to new feature developments originating from our customers.
This has resulted in a feature-rich, robust and complex ShiftMatch system.
Over the past few years, there has been significant growth and adoption of ShiftMatch in Australia and overseas, to ensure an ongoing quality approach to future developments we have further strengthened our internal development path processes to meet these business needs.

This means that while every endeavour will be made to ensure the same timely delivery of new features, functions and ad-hoc reporting, we will be spending more time on scoping, programming and documenting new developments.
As usual, our focus on customer service remains paramount and we are sure that you will appreciate that quality and stability need to remain our primary goal.
