The document window in Daylite Sales Assistant is used for all document types (quote, proforma, invoice, supplier invoice, supplier order (in fact any document DSA can make) )
The Main Tabs
Details
Set the following data for the quote:
The Invoice name
The Invoice number
The Invoice due date
The Invoice create data
The bank account
- The primary contact that requested the job that the invoice will get addresses to on the PDF
- The Billing contact..the recipient of the invoice
- The Shipping contact. The person to receive the good.
The Invoice Number
The next number to be used will display in light grey text in the number box. If this number is not wanted simply type over the top. This makes it easy to regenerate a quote if a mistake has occurred with our having to reset the number.
If the number needs to be reset see the section on document number preferences
There is also an invoice comments field where any text can be typed. This can be used for internal notes and comments or published in the template if required for additional information if the template supports it.
Line Items
Select existing products or services to add to the invoice or make a custom line item as you go. Note custom line items are not saved to the database so can not be re used. Once the option is selected the product picker window pops up.
Search for and select the product or service to add to the quote. If a single product is selected it will open the line item edit card. If multiple products are selected they will go straight to the invoice.
Continue to add the products and services until the invoice is completed.
Adding a product as you go
A new product or service can be added to daylite from this window. This saves time as it allows new products and services to be added during the quoting or invoicing phase which can then be added to the document.
There are a lot of special product and service features that extend the capability of Daylite Sales Assistant. Read about these in the related topics section below.
Applying Payments to Invoices
This is a very important step when using retainers/deposits. This allows a payment to be applied to the invoice before the invoice is generated into a PDF so the balance due can be shown.
PDF Section
Select which invoice template and preview the PDF. If all looks fine, press the Create PDF button and the PDF is created, saved and the document locked.
Once the invoice is completed a PDF can be generated to be sent to the customer for payment
