Navigation: From the Main Menu, Select Sales Entry

If you are a sales rep, you will be spending most of your time in the Sales Entry window because this is where you will be creating, editing and invoicing your workorders & quotes. The first task when a customer calls or comes in is to see whether they are in the system.

When you enter the sales entry screen you will find that all of your customers are held in the top most pane of the window. While workorders are in the bottom pane.

Searching by Store (Multistore Only)

If you have multiple shop locations, switching between them to look up customers, workorders, invoices and quotes is simple. On the far right of the yellow search bars you will see a column that says “Store”. Clicking this will bring up the Select Store window. You can select the a specific store that you would like to see customers or transactions for, or you can select the option to view All Stores.

Searching for a Customer

Use any of the following methods to find Customers (Be sure that you are viewing the correct store.):

  • Enter the first letters of the first name, last name and/or company name in the yellow search boxes above the column headings near the top of the window. To do a different search, press the Clear button.
  • By typing ‘%’ in the yellow search boxes, followed by search criteria, you will find anything that includes the criteria.
    • For example, typing “%tire” into the company name search box will display all of the Customers with “tire” anywhere in their company name.
  • Entering the symbols ‘>, <, >=, or <=’ in the yellow boxes above a column containing values only, such as date, price, quantity, or balance columns, will show you everything you have that is greater than, less than, greater than or equal to, or less than that amount.
    • For example, you could enter >1000 into the balance search box to display all Customers that have greater than a $1000.00 balance due.
  • Click the Phone # button at the bottom of the screen and enter a 7 or 10 digit phone number.
    • If you enter a 7 digit number, the system will try the 3 area codes set up in the Address Tab of System Settings.
    • If you enter a 10 digit number which is not found in your database, the system will look online for the name and address.
  • Click the License Plates button and enter the license plate.
    • You can also search for the vehicle by fleet number, VIN or model.
  • If they have an invoice or workorder number, click either the Invoice or Workorder button and enter the number.

Searching for a Transaction

Use the following methods to find:

  • You can put a Q in the yellow box above the Type column to search for Quotes only, and then type the first part of the Customer’s name in the yellow box above the Paid By column. Note that the Show Invoices & Quotes checkbox needs to be checked to see the quotes with the workorders.
  • You may also search for dates before or after a specific time using the <, >, <= and >= characters.
    • For example, you could enter >=5/4/05 into the yellow date search box and find all of the transactions on or after 5/4/05.
    • You can also put a >1000 in the yellow box in an amount column to search for anything over $1000.
