Navigation: Press the P/O button at the top of either the Vendor Entry window or the Inventory Entry window.

Here you can receive inventory from your vendors. Optionally you can create vendor bills from the purchase orders as well. If the vendor called Inventory Adjustments is selected, an Inventory Adjustment will be created rather than a Purchase Order.

Vendor Purchase Order Overview

With a Vendor other than Inventory Adjustments selected:

  • Press the New button in the center of the window to create a new Purchase Order..
  • Fill in the Reference and optionally the Notes boxes with a descriptive name of this P/O.
  • Press Save Changes.
  • Press the New Line button to create a Purchase Order.
  • If you know the catalog number of the item, you can enter it now. Otherwise press the button to select it from the Inventory Search window.
  • Now you have a few choices:
    • If you have ordered but not yet received the item, enter the quantity ordered where it says Order.
    • If you have received it but it is not ready to be invoiced yet (or if you want to enter the Vendor Invoice manually,) enter the quantity received where it says Receive. The Order quantity will be filled in automatically.
    • If this P/O is ready to be invoiced, you can skip the first two numbers and simply enter the quantity where it says Invoice, so an Invoice will be generated automatically.
  • Adjust costs and/or prices if desired.
  • Press the Save Line button, or press the Enter key.
  • You can press New Line again to enter another inventory item and repeat the procedure above. To delete the selected line, press the Delete button.
  • When you have finished entering lines press the Process All Changes button which will update the inventory quantities. Remember that your inventory is not updated until this button is pressed. * If any items have been marked to be billed, pressing Process All Changes a window where you can create the bill. Here you can add any applicable freight, discounts or surcharges, and press Create Vendor Bill. This will take you to the Vendor Bill window, where you can verify the terms, and add any other desired charges. If you make any changes, press the Save button to update the Bill. For more information, see the Vendor Bill section.

To review items for another P/O, simply click on another line in the middle list. To add items to a different P/O, select that P/O and press the New Line button.
