Brief Summary of New Major Features in Version 8.6

  • Attach Inspection Sheet and photos when emailing Invoices and Workorders
  • The optional Service Data Pro is now available, giving labor times, repair procedures, Diagrams & QuickLube info. (Call for pricing.)
    • Service Data Pro now provides quick access to preventative maintenance info, and when doing a lube job it finds the oil, air, fuel and cabin filters for the vehicle.
  • Our new Whitepages interface lets you find customer information by their phone number, including cell numbers.
  • The Vendor catalog can give you current pricing and availability of tires.
  • Import parts and tires from spreadsheets into your main inventory database, or just update your prices, quantities, etc.

Email Vehicle Inspections and Photos

  • With our latest release, AutoFluent enables you to send your vehicle inspection sheet and applicable photos to your customers.
  • Whenever you print, invoice or even preview a Workorder, you can press the Email button to include both the current inspection sheet, and as many photos and other attachments as needed.
    • If desired, you can include the inspection sheet by default whenever you email Workorders and Invoices. In the Vehicle Inspections tab of System Settings, check the box called Normally attach to Emails?

Point of Sale

  • You can assign a pricing matrix to labor items.
    • In the item group window, you can have the hourly rate vary according to the number of hours billed.
    • This feature is turned on in the Inventory tab of the System Settings window.
    • Also in this tab, you can choose whether to continue to use the pricing matrix after the Workorder has been saved, in case you need to adjust prices manually.
  • In the Workorder list in Sales Entry, Workorders turn red when it is past the pickup time, and yellow when it is almost time for the vehicle to be picked up.
    • The pickup time for the Workorder can be set in the body or the Workorder, or by clicking the Status button on the Workorder’s line.
    • You can include the pickup time in the Workorder list by clicking the Settings button in the middle of the window when viewing Workorders.
    • To set how early the Workorder line turns yellow, and to set the default pickup time, go to the Sales Settings tab of System Settings.
  • The Vendor Catalog has a new button: Update Tires of the Selected Size. Click this button after entering a tire size, and the pricing and quantities on hand will be refreshed for the tires in the grid whose information came from suppliers that you are interfaced with. Clicking the button will contact the suppliers and get the latest pricing and availability.
  • You can now edit the last mileage in the vehicle window.
  • You can hide the signature on the Workorder. This is in the Defaults – W/O tab of System Settings.
  • The Worldpac interface now passes the part numbers to AutoFluent, like the NAPA interface and other interfaces do.
  • The Nexpart interface now passes the part numbers to AutoFluent, like the NAPA interface and other interfaces do. Now all the parts interfaces do this.
  • You can assign Nexpart groups to your inventory items. Here is an example of how this can be used:
    • In inventory entry, select (or create) a labor item for brake labor.
    • In the Sales tab, select the Nexpart (Wrenchead) group Brake/Wheel Bearing and the subgroup Front Friction/Drums & Rotors.
    • If desired, include this brake labor line in one of your brake packages.
    • Open a Workorder with a vehicle and add that labor line to the Workorder.
    • With that labor line selected, click the Nexpart button. Nexpart will open with that vehicle selected, and show you all the parts associated to the brakes group you selected above.
  • The Lube Package now allows you to attach four additional items to it, instead of just one.
  • When printing a Workorder or Quote the heading for the total is normally Estimate. You can change this to another word like Don’t Pay by going to the Invoice Copies tab of System Settings.

Whitepages Interface

  • In the Sales Entry window, you can enter a 7 or 10 digit phone number in the yellow box above the phone column and click the search button.
    • This will first search for the customer in your database.
    • If you entered a 7 digit number, it will try the 3 area codes set up in the Address tab of System Settings
    • If it is not in the database it will search Whitepages.com for the customer’s information.
    • One more click will open a new Workorder or Quote for that customer.
    • Clicking the Phone button in the body of the Workorder does exactly the same search.
  • This is Whitepages’ premium service, but you are given 10 free searches per month.
    • You can upgrade to a plan with more lookups starting at $15 / month.
    • All plans are month-to-month, with no long-term obligation.

Service Data Pro

  • Gives you labor hours and OEM parts, which are then pulled into your work order.
  • Offers detailed instructional help for vehicle repair, including pictures, wiring diagrams and fluid capacities.
  • Includes the Lube Module, quickly giving you capacities, viscosity and OEM filters from within your Lube Package.
    • When you select a Lube package, you are presented with one or more OEM oil filters for that vehicle.
    • You then have the option of selecting an air filter, fuel filter and cabin filter.
    • For each filter selected, you will see a list of all of your filters which are attached to that OEM part number.
    • For your convenience, you can click a button to attach one (or more) of your existing filters to that OEM part number.
  • Provides Preventive Maintenance schedules.
    • For quick access, there is a Preventative Maintenance button in both the Workorder window and in the Lube window.
  • You get Comprehensive specifications, including brakes, cooling system, tires & torque.
  • Includes Technical Service Bulletins.

Mechanic Punch-in Module

  • You can now have an unlimited number of mechanics per job (Workorder line)
  • A job (Workorder line) can have an unlimited number of punches, and can last an indefinite period.
  • Punches can now be edited by a Mechanic Punches Manager
  • Employees can be marked as Mechanic Punches Managers in the Employees window, enabling them to edit / add / delete punches.
  • Jobs are created as soon as a Workorder is saved with labor lines.
  • Jobs can be marked and unmarked as done at will. With the Mechanic Punches mode turned on, the done status is for information purposes only.
  • The punches for jobs can be viewed and edited in three places:
    • the Clock-In Mechanics window
    • the Mechanic Tracking window
    • by clicking the L button on the Workorder line while editing a Workorder.
  • The Mechanic Tracking window has been redone:
    • You can view jobs by transaction date or punch-in date
    • You can view jobs for one or all mechanics.
    • You can use the arrows to flip through dates.
    • You can click on lines to view, add, edit or delete punches.
    • In Chores mode, you can add, edit or delete chores.
  • The Mechanic reports have been redone for clarity.

Inventory

  • You can now import parts and tires from spreadsheets into your main inventory database, or just update prices, etc:
    • Go to the Merge/Import Inventory tab of the Utility window.
    • This will let you either import into your Vendor Catalog, or your Main Inventory.
    • Open a spreadsheet with your items to be imported, and copy the rows to be imported.
    • You can import or update costs, prices, vendor & manufacturer part numbers, and even current quantities on hand.
    • Optionally, you can include the column headings.
    • When updating costs, you can also choose to have the prices change by the same percentage as the costs.
    • If you import quantities on hand, you will be prompted for batch information for the inventory history records.
  • The inventory item types are now more versatile. You can have Fees that are costable, non-costable, taxable, non-taxable, and you can choose whether the cost will always equal the price.
  • Fees can now be commissionable.
  • Lube packages can now be marked as obsolete.
  • The Price Changes window has a new checkbox: Update all stores? If you check this box, the items that updated that pertain to a single store will be copied to all stores. These items include costs, spiffs and reorder levels.
  • Transfer Packing Slips now display the full description of parts. It was previously limited to the first 50 characters.
  • If you have more than one shop, each of your shops can assign a different vendor to a given inventory item.

FET Reimbursements

  • Track your FET credits and reimbursements (USA only – Tire Module required.)
    • The Claims / Cores window now has the option to also track the FET not collected from your FET-exempt customers.
    • This window shows you the FET-exempt sales transactions, and lets you create credits from them.
    • There is also a new FET Reimbursements report under Vendor Reports.

Reports

  • There is a new report called the Workorder Deposit Report.
    • This will list all Workorders in a date range, or all Workorders with deposits, showing the customers, the vehicle, the status, the deposit, and the balance due.
    • It can either report on all Workorders, or just those with deposits.
  • A new vendor report called FET Reimbursements will show you all the tires in a given period waiting for credit, and those already credited.
  • There is now a report listing your claims. You can report on a range of dates, vendors and part numbers, and limit it to any combination of statuses.
  • The Purchase Order reports now have the option of showing either the total dollar amount received or the total dollar amount ordered.
  • The Excel export of the Vendor Transaction Report now includes G/L account numbers.
  • The Mechanic reports have been redone for clarity.

Accounting

  • When creating bills from Claims, Cores or FET Credits by clicking the Credit button, you can edit the amount and the G/L Account.
  • There are more checks to assure that two people don’t post a daily report at the same time.
  • Balance Forward Statements now only accumulates the amount charged on an invoice, if an invoice was partially charged and partially paid.
  • Fees now show up in customer reports that show invoice lines.
