Navigation: From the Main Menu press the Inventory Entry button, press the New button and use the Type drop-down box to select Package.

Inventory packages make creating workorders and quotes much more efficient. If, for example, you have a tire and attach it to a tire package, you can then instantly see the mounted and balanced out the door price for one or more tires, including all taxes and fees, with or without warranty. Below are some examples of packages. However, feel free to customize your packages in any way you want.

Example 1: Creating A Tune-up Package

In this tutorial, we will create a tune-up packages for 4 cylinder vehicles. We will assume that all the items in the package have already been created in the inventory.

  • In the inventory Entry Window press the New button
  • For the Size/Item enter: TUNEUP
  • For Catalog enter: TUP4 (Common items should be abbreviated so that they can be entered quickly from the keyboard into the workorder.)
  • For Type, select Package (You will see that the lower portion of the screen changes to resemble a workorder)
  • For Description enter: Install new spark plugs, adjust timing if necessary, inspect cap, rotor wires, air filter.
  • In the first Catalog number of the list-box below enter TUL (This is a labor item.)
  • Press the tab key or click on the description field of the line.
  • Leave the quantity at one and the price at $70 and go down to the next catalog number.

Now we will add all outside parts because you do not stock any of them. For sales tracking purposes, we will have an outside part for each of the items. The costs will be entered when the package is used in the workorder. The Tune-Up package will look like this:

If we wanted to offer a different price for the labor item TUL than the current $70 when it is in this package, then we can change the price for it manually and check the box next to it that says Use Override. If the Use Override box is not checked then the system will use the current price for the item in the inventory entry, according to the selected customer’s price level. Press the Save Changes button to save all the lines of the package.

Example 2: Creating a Tire Package

In this tutorial we will create a package that we will attach to each of our tires. We will assume that all of the items in this package have already been put into the inventory.

  • In the inventory entry window press the New button.
  • For Size/item enter: PK
  • For Catalog enter: PKTIRE (Common items should be abbreviated so that they can be entered into the workorder quickly from the keyboard.)
  • For Type, select Package (You will see that the lower portion of the screen changes to resemble a workorder.)
  • For Description, enter New Tire Package.
  • In the first catalog number of the list-box below enter: TR13 (our Valve Stem.)
  • Press the Tab key or click in the description field to fill in the line.
  • We will also be entering our labor item WBP, and our waste disposal fee DFP.
  • We will also enter our optional item RHP, This is a warranty item that the customer can accept or decline.
  • Make this an optional Item by clicking the box in the Optional column. If declined the item will not be added to the workorder.
  • On the next line, leave the Catalog blank, and enter this description: * * Free Rotation every 5000 miles * *
  • Press the Save Changes button to save all of the lines of the package.

To associate new tires to this package:

  • Go into the Inventory Entry,
  • Search for and select the desired tire
  • In the Next Linked Item box enter PKTIRE,
  • Save your changes.
  • As mentioned above, you can set the Next Linked Item for many items at once in the Price Changes window.

You can create different packages for used tires, light truck tires, etc. Once this is done, creating workorders and quotes will be a breeze, and you will be able to quote a tire package on the fly in the inventory search window without even creating a quote.

Details

Insert

Click this to insert a blank line before the selected line.

Delete

Click this to delete the selected line.

Undo

Click this to undo all the changes you have made to the package since the last save.

Fixed Total

If you would like the package to have a fixed total every time it is entered on a workorder, you can enter it here and check the Fixed Total box.

Obsolete

Instead of deleting a package, it is preferable to check the obsolete box. This will preserve the history for reporting purposes.

Group (optional)

You can attach any package to a specific item group much like regular inventory parts. This is only optional, and is strictly for searching purposes.

Clear group

Clears the selected group from the drop down box.

Bold/Italic

If you would like a certain line to be boldfaced or italicized, you can select the line and check the appropriate box.

Don’t print on invoice

To hide a line on a package when the invoice is printed, select the line and check this box.

Don’t print on workorder

To hide a line on a package when the workorder is printed, select the line and check this box.
