As process mappers and viewers, enhancing the richness of information significantly improves the overall understanding of process maps. One essential element in this enhancement is visual information. To address this need, Modelers have the ability to add an Artifact and associate one or more Documents or Assets to display how these resources are used or affected during the execution of a process.

Modelers can associate a single or multiple documents to a single Artifact, improving traceability and visibility within the process flow:

Artifacts are connected to various elements in the process map, such as Tasks, Sub-processes, Gateways, Events, and even other Artifacts. Transitions can be created to or from Artifact objects, allowing them to act as either a source or a target, enhancing the flexibility of your process maps.

Associating Documents and Assets to Artifacts

To link Documents and Assets to Artifacts, follow these step-by-step instructions. The same steps apply to both Documents and Assets.

  1. Navigate to the Diagram Editor
  2. Add an Artifact Shape to the map.

  1. Link the Artifact to a shape in the process map.

  1. Right-click on the shape and select Associate Document(s) or Assign Asset Object

  1. A pop-up will appear, allowing you to search for the name of the document or asset. Suggestions will populate as you type based on keyword matching.
  2. Choose the relevant document or asset from the suggestions list.

  1. The selected document or asset will now be selected.
    • To associate multiple documents, repeat steps 5 and 6.
    • To remove an assigned document, click the X next to its name.

  1. After associating the document(s) or asset, click on the Done button to finalize the process.
