Once an object has successfully passed through signature compliance and the approval process, auditors can review the signed document by accessing the version history.

Steps to Review a Signed Document

For an object that’s still in draft

  1. Navigate to the object’s Details or Diagram view.
  2. Expand the green ‘Approved’ box, that will display the approval information.
  3. Select the buttons as shown below to download or preview the digitally signed PDF document.

For an object that is published

  1. In the object’s Details page, expand the Versioning accordion.
  2. In the Current Version sub-accordion, open the green Approved box, that will display the approval information.
  3. Select the corresponding buttons to download or preview the document.

To consult the approval document for past versions

  1. In the object’s Details page, expand the Versioning accordion.
  2. In the Version History sub-accordion, click on the X button in the Cycles History column of the desired version.
  3. In the pop-up window, users will see boxes with all completed cycles for this version (approval, endorsement).
  4. Open the green Approved box, that will display the approval information.
  5. Select the corresponding buttons to download or preview the document.

Rules & Limitations

  • Permission Removal: If User X approved the object and it is published, removing User X’s permission from the environment will not remove their signature from the document.
  • User Deletion: If User X approved the object and it is published, deleting User X from the system will not remove their signature from the document.
  • Restored Drafts: If an object in the approval stage is deleted and restored before publication, the signed document cannot be viewed or downloaded as it remains in draft status.
  • Restored Published Objects: If a published object with a signed document is deleted and restored, users can download the signed document of the current version.
  • Accessing Previous Versions: For published objects, users can download the signed document of a previous version before reverting to it.
  • Localized Versions: Localized versions of published objects will not include the signed document or approval history.
  • Referenced Objects: Referenced versions of published objects will not include the signed document or approval history.
