Students withdrawn before the first Friday in September for J-term or March 1 for Summer Terms should receive a full refund, less the non-refundable $100 withdrawal fee, unless an earlier deadline was established by the instructor and funds have already been spent. For students withdrawing after this date, a refund of other course fees, if any, will be determined by the instructor. Refund amounts will depend on whether the course has its own deadline and/or refund policy (approved by the Provost’s Office and OIE), to which the students should have also agreed.
It is the responsibility of the instructor to monitor the course enrollment and financial reports and notify the Business Office how much to refund to a withdrawn student by completing a Request for Student Payment form (or a Request for Multiple Student Travel Course Payment if the request is made for more than one student).
- All requisitions require the instructor’s authorization signature and must include the Student ID# (not the SS#) as well as the course account number (both available on your monthly report issued by the Business Office). Under “Description of Goods or Services”, it should say “Refund for study travel course.” OIE/Provost’s Office must sign this form prior to submission to the Business Office for processing. Refunds will be applied to the student’s account and resulting credits refunded according to existing College refund procedure.
- In the event a student changes to another study-travel course, there is no withdrawal fee unless funds have already been spent by the first instructor or funds are listed as non-refundable.
- Effective January 2025, no student refunds will be issued to students upon the completion of study-travel courses. This means that you should be careful in setting the course fees and that you should plan to spend all of the funds you collect from students.
- The Business Office does not issue refunds unless directly requested by the instructor via Request for Student Payment form (download from Business Office’s BuzzNet site).
