The key features of PriApps can be broken down into the following key functional areas:

Usage Tracking

One of the basic features of PriApps is its ability to track printer and MFP usage. Print usage can be tracked for any local USB attached printers, network printers and MFPs. Copy, scan and fax usage can be tracked for supported MFPs.

PriApps provides a range of methods by which it captures print usage. Firstly print usage is captured at the PriApps application server as it processes the print jobs for the print devices under its control. For network printers, the print job attributes are taken from the spooler, which receives its data from the printer driver. For supported MFPs, the print job attributes are taken from the events log of the MFP, which also provides the copy, scan and fax usage data.

For locally attached printers, the PriApps Agent is installed on each workstation, which captures the print job data directly from the application the user is printing from. By combining the PriApps Agent data with the server-based data, PriApps is able to offer the most accurate print usage tracking in the marketplace.

Reporting

PriApps provides a comprehensive set of report templates that can be used to provide incisive data on all aspects of the use, cost and output of printers and MFPs. Reports are broken down into a number of categories, which cover user level reports, group reports, customer/project account reports, and device level reports, including:

  • Activity Reporting
  • Costing Reporting
  • Cost Savings Reports
  • Summary Reports
  • Total Usage Reports
  • Statements

Reports can be viewed online or exported in a range of formats, including PDF, CSV, XML, and Microsoft Office. It is also possible to schedule and distribute reports on an hourly, daily, weekly or monthly basis for different time periods.

Rules-based Printing

PriApps allows organizations to implement a wide variety of print and copy rules designed to save money and reduce waste. Rules include:

  • Color control, for example only allow certain users to print or copy in color.
  • Application specific rules, for example ensure all emails are printed in mono / duplex
  • Enforcement rules, for example enforce rules designed to create efficiencies in the output process, even deny access to print and copy services.
  • Re-direction rules, for example re-direct print jobs over a certain number of pages to more cost-effective devices

PriApps also allows for informed user messaging, so when a rule is invoked, the user is informed of the rule and given the option to proceed or not, if allowed to do so. This function requires the deployment of the PriApps Agent.

Quota Management

PriApps provides the ability to apply various types of quotas to users’ print, copy, scan and fax usage. Quotas can be monetary in value, or based on clicks or pages. They can be refreshed manually or at pre-defined time intervals and can be applied to individual users as well as groups of users, such as departments or cost centers.

Single Sign-On (SSO)

With PriApps, organizations can provide secure access to MFP services. Users are required to authenticate at the MFP, and based on their permissions they are allowed to print, copy, scan and fax. PriApps can isolate each of the core MFP services, so while a particular user may be allowed to print, they may not be allows to copy.

Users authenticate at the MFP using one or more of a number of authentication methods PriApps supports, including:

  • ID Cards
  • Biometrics
  • Network ID & Password
  • Smartphone app
  • Shortcode / PIN

PriApps offers Active Directory / LDAP sync for user management so can offer a true Single Sign-On experience for users with native and 3rd party MFP applications and services.

Secure Print Release / Pull Printing

PriApps offers a secure print release or Pull Printing service across any make or model of network printer or MFP. For Managed MFP brands, PriApps provides an app that allows users to view and release their print jobs via the MFP UI.

For non-managed MFP brands and network printers, the PriApps Mobile Print app allows users to view and release their print jobs via smartphones and tablets. Alternatively, PriApps offers the ability to release print jobs via network card readers or keypads associated with non-managed MFPs and network printers. PriApps can even offer secure print release services without the need to lock down MFPs.

Cost Recovery & Billing

For organizations looking to assign print and copy costs to specific departments, groups or projects, or even re-charge clients, PriApps offers extensive pricing models that can either be assigned to print and copy output automatically, or allocated to specific jobs when the user initiates them or completes them.

PriApps’ highly flexible pricing models allow organizations to assign cost to virtually any document attribute, including:

  • Color / mono
  • Paper sizes
  • Toner coverage
  • Print, copy, scan & fax

With the ability to create multiple pricing models for multiple Cost Accounts, PriApps has the flexibility to address simple as well as the most complex cost recovery requirements. Multiple export options available in industry standard data formats, make it quick and easy to output data to billing applications for invoicing or further analysis.

Mobile & BYOD Printing

PriApps offers the most comprehensive functionality for mobile printing available on the marketplace. PriApps makes it possible for users of mobiles devices within and outside the organizational network to print to any make or model of print devices through multiple options, including:

  • PriApps Mobile Print app – allows users to submit jobs directly to a network print device or their personal myQueue for secure release.
  • Email Printing – allows users to submit single, as well as multiple documents, to a network print device or their personal myQueue for secure release.
  • Google Cloud Print – makes any print device under the control of PriApps available to a user’s Google Cloud Print account, thereby tracking usage, applying print rules and offering secure print release services.
  • AirPrint Support – allows users of iOS devices to use the in-built AirPrint functionality to submit jobs directly to a network print device or their personal myQueue for secure release.
  • Webpage Upload – offers users a secure webpage to upload document for printing directly to a network print device or their personal myQueue for secure release

Hospitality Printing

PriApps can be deployed as a stand-alone Hospitality printing solution. It is available as an on-premise server, private Cloud or hybrid solution, and can easily be re-branded to meet the corporate branding requirements of End Customers.

Centralized Printer & Driver Management

PriApps’ Centralized Printer & Driver Management module allows organizations to centrally manage and deploy printer queues and drivers. Administrators use the intuitive Organizational Model to create a ‘view’ of the organization by assigning users, computers and printers to different organizational locations. Locations can be created automatically from AD Organizational Units (OUs), or manually based on customer preferences.

Once created, the Organizational Model is used to deploy printer queue and drivers to computers based on the logged-on user. Changes and updates are automatically deployed, with obsolete or retired printers removed from computers along with out-of-date printer drivers.

PriApps also provides a Self-Service Portal for users to easily find printers and download the correct queues and drivers anywhere in the organization.
