A new feature has been introduced to track the number of times a document has been downloaded and/or printed in PDF files and within the audit trail for document objects.

In PDF files, the download and print counts will be automatically injected in the bottom left corner of the first page, but only when the downloaded or printed copy is a PDF file. More details on this are provided below.

How it Works

To enable the download and print count injection in PDF files, the ENABLE_COPY_COUNTS_INJECTION advanced setting must be set to true.

Download counts

For download counts, this feature tracks instances when the file of a document object is downloaded. This includes downloads from the preview window, List view, and mass downloads. However, SOP generation is excluded, meaning SOP creation does not count as a download. Additionally, downloads are only counted when the published version of the document is downloaded. Draft version downloads are not included in the count.

Print counts

For print counts, the feature records instances when a document object is printed. Specifically, printing is counted when the document is printed from the preview window, but only if the DOCUMENT_CONTROLLED_COPIES advanced setting is set to true and the user is printing the published version of the document. Printing of draft versions is not included in the count. Additionally, printing from the Details page is not tracked.

Rules

  • If ENABLE_COPY_COUNTS_INJECTION is enabled, the injected count will appear at the bottom left corner of the first page, but only for PDF files.
  • If CONVERT_WORD_TO_PDF_IN_PUBLISHED is enabled, the count will always be injected within the files since all files will automatically be converted to PDF in published mode.
