The OTC Sales Export (Sales File — Export — OTC Sales Export) is the spreadsheet used for the OTC’s Audit—Ratio Study and Questions 1-3

Please review the OTC Sales Extract ASCII FILE FORMAT for spreadsheet set-up.

Please note: If the sale date and filing date occur in different years, they WILL NOT be included in the export. If filing date is blank, then it WILL be included with the sale year.

PLUG the OTC provided jump drive into the local machine.
When the OTC’s jump drive is plugged into the local machine it will be assigned a Drive Letter which can be viewed under This Computer. In this case, the drive letter is D on DESKTOP… (this can vary based on the machine).

GO TO Sales File — Export — OTC Sales Export

ENTER the Sale Year for the Equalization Study
SELECT the drop-down button on Export File Name to open a file browser window

LOCATE the Drive Letter on the local machine assigned to the jump drive, in the File Browser Window.
The Drive’s that contain the word ‘Local’ are server drives and should not be used in this process.
The target drive should contain the local drive letter and local machine name (Example:DESKTOP..).

ENTER the file name (county number, EQS, current tax year and .txt)
If the county number is less than 10, begin the number with a zero.
User may have to create a new folder with the above file name.
HIGHLIGHT File name
CLICK Open
The correct drive and file name should appear.

CLICK Continue on the OTC State Sales Data Export to begin the export process
Once the process is finished, the OTC Sale Export is complete.

The report spreadsheet looks like this.
