Subtypes for IT0185 (Personal IDs)
- G4 Visa
This personal ID is required by International staff members working in the United States. It is a non-immigrant visa, which allows foreign officers and employees of an international organization to perform duties that related to the international organization. This should be used to record the visa information of the staff member.
- G5 Visa
This personal ID is required for domestic employees who are accompanying an employer (G4 Visa holder) while they are on assignment in the United States. A domestic employee is generally a member of the household staff, such as a cook, butler, chauffeur, housemaid, nanny, or gardener. This should be used to record the visa information of the staff member’s domestic employee(s), if applicable.
- Perm Resident
This personal ID must be recorded if the staff member holds Permanent Residence status in a country other than their home country. If the staff member is a Permanent Resident of the United States, the HR Partner should ensure that their information is recorded in IT0185 and that they have signed the waiver (the waiver date should have been recorded in IT0041 (Date Specifications).
- B1 Visa
This visa is issued to individuals who plan to perform some business related activities within the United States for a limited time (up to 6 months).
- B2 Visa
This visa is known as a visitor visa and is issued to individuals who wish to enter the United States for non-business purposes. It is a non-immigrant visa, which allows foreign nationals to enter the United States for tourism/visitation purposes. This should be used to record the visa information of the staff member’s eligible dependants, if applicable.
- U.S. Work Permit
This document is issued to foreign nationals living in the United States who have received explicit permission to work in the United States.
- Non U.S. Official d/s Visa
This Non U.S. visa may be required by some International staff members working in countries other than their home country or the US upon initial appointment, reappointment, reassignment, or temporary assignment. This should be used to record the visa information of the staff member and any eligible dependants.
- DtyStation Residency Card
A residency Card may be required for some International staff members working in countries other than their home country upon initial appointment, reappointment, reassignment, or temporary assignment.
- Carte de Legitimation
This personal ID is a permanent residency card issued by the Swiss Federal Department of Foreign Affairs (DFAE) for staff members and eligible dependants in Geneva.
- Passport 1
This personal ID should be used to record the staff member’s passport information. Kindly note the HR Partner should only record this information once the passport has been verified from original.
- Passport 2
This personal ID should be used to record the staff member’s second passport information. In some exceptional instances staff members may have two valid passports.
- Drivers Licence
This personal ID should be used to record the staff member’s driver’s licence. For all staff members who operate vehicles as part of their official duties, this personal ID should be entered. Additionally, for local staff members who do not have as valid passport, a driver’s licence can serve as a valid form of ID.
- Laissez-passer (LP1, LP2, LP3, LP4)
This personal ID is the laissez-passer and is issued by the Organization to be used for official travel purposes. This valid travel document can be used like a national passport.
In certain circumstances a staff member will travel to certain countries that will not allow the staff member entry if proof that the staff member has been to other particular countries is found (i.e. passport stamp). As such the staff member may be allowed to hold two laissez-passers to avoid being refused entry into a country for official business purposes.
When a staff member who holds two laissez-passers is in the process of renewing their LPs they may be issued newer LPs without the cancellation of the expiring LPs. In this case the staff member may have up to four valid LPs.
- Birth Certificate
This personal ID is used to record the birth certificate information of a staff member. Kindly note the HR Partner should only record this information once the birth certificate has been verified from the original.
- Marriage Certificate
This personal ID is used to record the marriage certificate information of a staff member. Kindly note the HR Partner should only record this information once the marriage certificate has been verified from original.
- UN Grounds Pass
This personal ID is used to record the staff member’s grounds pass information.
- Travel Document
This personal ID is an identity document issued by a government or international treaty organization to facilitate the movement of individuals or small groups of persons across international boundaries (for instance, a refugee travel document for those who are refugees or asylees).
- ID Ministry of Foreign Affairs
This personal ID may be used to record the personal ID issued by the Ministry of Foreign Affairs in the home country of the staff member.
- U.S. PID#
This personal ID is a number issued by the United States Department of State after the staff member has been registered by the Travel and Transportation Section.
- Tax Identification Number
This personal ID should be recorded if the staff member is entitled to tax reimbursement by the Organization. An example of this ID is the social security number of a U.S. citizen
In addition the tax ID is required to make bank deposits into accounts held in the following countries.• Argentina
• Brazil
• Venezuela
• Colombia
• Chile
The Tax Identification Number (TIN) syncs with the BP record of the staff member for those countries listed.
