7.2.3. Roles

In the Roles tab, administrators can synchronize roles with EPC.

!If administrators sync users first and then roles, the relationship between users and roles in EPC will be preserved in DBP. However, if they sync roles first and then users, this relationship will not be preserved.

1. Environment: This is a single-select dropdown field that retrieves the list of environments from EPC. It is a mandatory field. It allows administrators to select the environment from which data will be synchronized with DBP.
   

   **Upon selection, the displayed list of roles in the List of EPC Roles tab and the EPC Role dropdown will be filtered accordingly.

2. EPC Role: This is a single-select dropdown field that retrieves the list of roles from EPC. It allows administrators to select an EPC role to add or update in DBP.
   

   !!To use the Add/Update Selected Role feature, a role must be selected in this field.

3. Role Department: This is a single-select dropdown field that retrieves the list of departments from DBP. It allows administrators to select a department to link to the specified EPC role.
4. Add/Update Selected Role: This button allows administrators to add or update the selected EPC role in DBP.
   • Upon clicking this button, the synchronization process will be triggered.
     
     *

     Synchronization Details:

     • New Role: If the role does not already exist in DBP, it will be added.
     • Existing Role: If the role exists but has been modified in EPC since the last synchronization, it will be updated.
     • Role Department:
       • The role’s department from EPC will be added or updated in DBP, maintaining the link.
       • If a DBP department is specified in the Role Department field, it will replace the associated EPC department.
         

         !Note: A newly added role links automatically to its defined department in EPC. To change to another department in DBP, administrators must reselect and update the role.

     • Role User(s): Any users connected to the role in EPC will also be added or updated in DBP, maintaining their relationship with the role.
   • A message will appear below the button, indicating whether the operation was successful. It will also inform if a new EPC department was added to the role or if any associated users were added or updated.
     
5. Add/Update All Roles: This button allows administrators to add or update all roles from the selected EPC environment in DBP.
   • Upon clicking this button, all roles in DBP will be synchronized with those in EPC. A message will appear below the button, indicating the number of roles added, the number of roles updated, and the number of users added to roles. Any encountered errors will also be reported.
     
6. List of EPC Roles: This tab displays the list of roles from EPC.
7. List of DBP Roles: This tab displays the list of roles from DBP.
8. Export All Data to Excel ( ): This button allows administrators to export the grid data to Excel.
   • If selected, an Excel file containing the grid’s contents will be automatically downloaded to the user’s device.

!To enable synchronization, EPC departments, users, and roles must be published after any changes are made. For guidance on how to publish an object in EPC, click here.
