All students in the Social Work Program at Mount Royal University (MRU) are required to complete a Police Information Check (PIC) and Child Intervention Record Check (IRC) each fall in preparation for practicum. The PIC cannot be more than 6 months old when entering into placement. In most cases agencies also require an IRC that is no more than 6 months old when entering into placement.

Police Information Check (PIC)

The Practicum Coordinator will email a letter confirming your status and information on where and how to apply for a Police Information Check. This letter may result in eligibility for a reduced fee for the PIC.

A copy of the completed Police Information Check must be handed in to the Practicum Coordinator by October 15th. Failure to meet this deadline will mean that you are not eligible to continue to practicum. As well, you are required to present the Police Information Check to potential practicum agencies.

The PIC will include Canada-wide Criminal Record History, Vulnerable Sector Search and Police History, including Local Police Information and Alberta Provincial Court Records, produced on a Calgary Police Service certificate letter. The certificate letter will be provided directly to you. Upon receipt of the certificate letter, you are required to provide a copy of the letter to the Coordinator for the Social Work Program by no later than October 15th of each year you are in the practicum. Prospective practicum agencies may also require you to provide a copy of the certificate letter.

IMPORTANT: The on-line application is NOT accepted by the program.

Outside of Calgary

Those of you who have not lived in Calgary during the previous six months should contact the Police Service serving their home community for a PIC prior to moving to Calgary. (International students, those in other cities.)

In Calgary

To obtain a PIC in Calgary, visit a designated Calgary Police Service location and bring two valid pieces of government-issued identification and payment. Students are responsible for all costs associated with obtaining a PIC. Students who have not produced a record check on time will not be permitted to proceed into practicum.

Winter practicum date October 15th

Child Intervention Record Check (IRC)

The IRC is done through an on-line application. There are very specific directions to follow including the technology required for the system to accept your application. The Practicum Coordinator will email detailed information about how to make this application.

A copy of the completed Child Intervention Record Check must be handed in to the Practicum Coordinator by October 15th. Failure to meet this deadline will mean that you are* not-eligible* to continue to practicum. As well, you are required to present the Child Intervention Record Check to potential practicum agencies.

The IRC will state whether you have placed a child in need of intervention. The completed form will be provided directly to you. Upon receipt of form, you are required to provide a copy of the letter to the Coordinator for the Social Work Program by no later than October 15th of each year you are in the practicum Prospective practicum agencies may also require you to provide a copy of the certificate letter.

Outside of Alberta

Those of you who have not lived in Calgary during the previous six months should contact the Children’s Services/Child Welfare Office in your home community. Please do this prior to arriving in Calgary.

In Alberta

To obtain a IRC in Alberta please follow the instructions provided by the Coordinator.

FOR ALL PICs OR IRCs IT IS IMPORTANT TO FOLLOW ALL OF THE INSTRUCTIONS INCLUDING THOSE ABOUT THE TYPES OF IDENTIFICAITON THAT NEED TO BE PROVIDED. REMEMBER TO SIGN WHERE REQUIRED ON THE FORMS. DO NOT MISS ANY STEPS OR THE FORM WILL BE RETURNED TO YOU AS INCOMPLETEYOU WILL NEED TO RESUBMIT AND THIS WILL DELAY RECEIVING THE COMPLETED CHECKS BACK WITHIN THE TIME REQUIRED.

The personal information that you provide to Mount Royal University is collected under the authority of the Post‐Secondary Learning Act and the Alberta Freedom of Information and Protection of Privacy (FOIP) Act.

Section 33©: The information will be used for the purpose of determining the suitability and placing students in practica, which are required as part of the Social Work Program. Copies of the certificate letter will be kept by the Social Work program for a period of ten years and will be destroyed after that time. Access to the PIC certificate letter will be restricted to the faculty and staff of the program. Collected personal information is protected from unauthorized access, collection, use, and disclosure in accordance with the FOIP Act and can be reviewed on request. Questions regarding the collection of personal information can be directed to the Chair, Department Child Studies and Social Work. The MRU Field Director will review the records and when deemed necessary will meet with the individual student to discuss the possible implications of a record. Field Instructors should always request a copy of the Police Information Check from the student.
