ALL employee absences MUST be requested through ADP.

ADP is used by all employees ONLY for leave which is PTO, Vacation (year-round staff), Bereavement or unpaid leave (see notes below about unpaid leave). It is NOT necessary to request leave for professional development or field trips in ADP. ADP is used strictly for payroll and tracking of employee benefits time.

It is necessary to submit your leave requests in ADP in advance of the leave but we realize that due to illness or sudden emergencies that is not always possible. In those situations where you are not able to request time off in advance, here’s how to do it:

  • Log onto ADP and click “Update My Time Card” on the right side of the home page in the “I want to…” column.
  • Click on “My Timecard.”
  • Find the appropriate date and enter the number of hours you were out and PTO in the Earnings Code column.
  • Press “Save” at the top or bottom of the time listings to complete the process.

Faculty/staff absences requiring substitutes are processed through the Frontline Education’s, Absence Management (hereinafter referred to as AESOP) program. (The link for this is included in the “GRACE Bookmarks” in your web browser and here.) This is in addition to the absences being requested through ADP. AESOP should be used for ALL absences requiring a sub. However, it will only immediately fill your position if you are requesting time off for Bereavement, Jury Duty or PTO. Remember that PTO is 64 hours (pro-rated if you are a less than 40 hour employee). All other absences (field trips, professional development and unpaid leave) require principal approval in the system before AESOP allows a substitute to be scheduled. If you are requesting a sub for 4 hours or less, please consider whether we can fill that internally first before selecting the button indicating that a sub is required. Again, this time must still be requested through ADP if it is anything other than an absence for a field trip or professional development. This includes time that is being covered by another teacher or assistant.
